This Administrative Assistant role sits within the Research department supporting a team of 12 members and providing overflow support to others including expense report preparation. The position is approximately 90% expense management and travel arrangements making strong experience in both areas essential. The role requires direct interaction with senior analysts and may involve setting up meetings with executive-level leadership demanding a highly professional demeanor even under pressure. The candidate will have access to customer data. The team culture is collaborative and supportive with experienced Executive Assistants who provide training and guidance candidates must be open to learning best practices and taking direction.
- Coordinate domestic and international travel as well as hotels car rentals car services etc. with a travel agency as requested
- Prepare Travel and Entertainment expense reports for reimbursement using the Coupa expenses system as well as reconciliation of monthly TD Visa Statements for analysts and associates
- Screen phone calls from clients and visitors greet clients when required and handle all incoming correspondence
- Assist with scheduling and coordinating meetings and events with other departments across the organization (e.g. Sales Corporate Access)
- Assist in maintaining client database log phone calls and emails in CRM as needed
- Maintain research data spreadsheets as specified by senior analysts
- Support Senior Analysts and provide overflow expense management for other team members
- Experience booking domestic and international travel
- Administrative experience in a professional setting
- Proficiency in MS Office Suite
- Heavy expenses / Travel & Entertainment (T&E) preparation experience
- Experience working in a fast-paced high-pressure environment
- Excellent attention to detail
- Investment banking / capital markets front office experience (recent experience required)
- Front office client-facing experience
- Strong communication skills including professionalism when interfacing with executive-level stakeholders
- Organized with the ability to prioritize and manage multiple responsibilities
- Open to receiving training guidance and adopting established best practices
- Research assistant experience
- Bachelors degree (BA) required
- 5 years of overall experience
- Recent banking and capital markets front office experience required
- Experience preparing expenses and managing T&E in a professional services or financial institution environment
- Research assistant background
- Fingerprinting is required for this position
- Interview process: 3 rounds all virtual Round 1 with hiring manager and Director of Business Management; Round 2 with Senior EA; Round 3 with Head of Business Management
