About the Role:

We are seeking a highly organized proactive and detail-oriented Executive Assistant to serve as the right hand to executive leadership. This individual will play a critical role in managing day-to-day administrative operations coordinating strategic initiatives and ensuring priorities are executed efficiently.

The ideal candidate is an exceptional communicator who thrives in a fast-paced environment enjoys solving problems anticipates needs before they arise and can successfully balance executive support project coordination event planning and operational responsibilities.

Role Responsibilities:

• Manage executive calendars appointments and scheduling
• Coordinate Zoom meetings agendas meeting materials and follow-up action items
• Screen and prioritize incoming emails phone calls and correspondence
• Keep leadership informed of important updates deadlines and operational priorities
• Coordinate domestic travel arrangements itineraries and accommodations
• Schedule personal and professional appointments as needed

• Support strategic initiatives from planning through execution
• Track projects deadlines and deliverables across multiple departments
• Coordinate communication between leadership and internal teams
• Develop and improve administrative workflows and organizational processes
• Assist with office operations and daily administrative functions
• Maintain accurate documentation reports and organizational records

• Coordinate executive meetings special events and organizational gatherings
• Plan networking events conferences leadership meetings and fundraising activities
• Manage event logistics including vendors venues schedules and communications
• Ensure events are executed professionally and efficiently

• Answer and direct incoming phone calls
• Manage executive and departmental inboxes
• Respond to emails and inquiries in a timely and professional manner
• Organize digital files documentation and shared resources
• Coordinate meeting room preparation and logistics
• Assist with recruiting administration and applicant communication
• Support internal communication and administrative initiatives

• Assist with creating presentations and organizational communications
• Coordinate marketing materials and branded documents
• Support website updates and digital communications as needed
• Help maintain consistency across organizational messaging

Requirements:

• 25 years of Executive Assistant Administrative Assistant or Operations Coordinator experience (reports directly to Executive Leadership)
• Experience supporting executives or senior leadership. Must represent our Bishop professionally with high-profile contacts (political leaders celebrities).
• Must have a dedicated professional home workspace with a quiet environment free from background noise (e.g. roosters traffic or other distractions) to ensure clear communication during calls with high-profile contacts.
• Must be proficient in using Microsoft Office Suite and Google Workspace with hands-on experience using Zoom and Canva.
• Experience with project management platforms such as Asana ClickUp Trello or similar tools is required.
• Familiarity with WordPress Squarespace or other website content management systems (CMS) is preferred

Preferred Qualifications:

• Experience supporting executives within nonprofit faith-based professional services or mission-driven organizations
• Experience coordinating events and executive travel
• Experience creating presentations and marketing materials
• Basic website management experience (WordPress Squarespace Wix or similar)
• Experience with project management software such as Asana ClickUp or Trello
• Experience using Canva Microsoft PowerPoint or Adobe Creative Suite
• Experience with applicant tracking systems and recruiting coordination
