About the opportunity

The Executive Office Co-ordinator position reports to the Executive Officer Legal & Governance and is responsible for providing a wide range of executive support to the General Counsel and Executive Director Legal & Governance and Senior Leadership Team.

As a key team member you will be the focal point to ensure the smooth running of the Office of the General Counsel and Executive Director Legal & Governance and perform a full range of office management and operational support functions with a strong emphasis on effective communication with will have a mature approach and be required to use initiative and manage multiple tasks efficiently within tight deadlines.

Key accountabilities

  • Provide high level confidential administrative support to the General Counsel and Executive Director Legal & Governance and Executive Officer.
  • Coordinating timelines and internal responses for Legal & Governance contributions to the Board Board sub-committees and the Executive Leadership Team Meeting on behalf of Legal & Governance.
  • Be responsible for executive administration activities on behalf of the Office of General Counsel and Executive Director Legal & Governance including:

- proactively coordinating the General Counsel and Executive Directors logistics via effective email diary travel and meeting management and administration;

- screening telephone calls and mail;

- fielding enquiries and requests and escalating urgent matters for the General Counsel and Executive Directors attention;

- producing correspondence presentations and reports on behalf of the General Counsel and Executive Director;

- registering and tracking all correspondence and briefs submitted to the General Counsel and briefs submitted to the General Counsel & Executive Director Legal & Governance;

- records management and filing for the General Counsel and Executive Director;

- coordinating meetings functions agendas and room bookings.

  • Supporting the Executive Officer in delivering Legal & Governance operational requirements including business planning risk & compliance and budget management.
  • Maintaining administrative processes and templates for Legal & Governance and meeting papers including agendas minutes and action registers.

About you

You are an administration professional who has well-developed communication and interpersonal skills. You have the ability to build strong working relationships with various stakeholders across all levels of WorkSafe. You employ discretion initiative and tact in the handling of all issues and enquiries.

Additionally you possess the following skills and experience:

  • At least 4 years experience in an administrative support role.
  • Proven ability to perform effectively in an executive assistant capacity including excellent organisational skills the ability to prioritise the work of both their own and that of the Office of the General Counsel and Executive Director Legal & Governance manage diaries and working with minimal supervision to meet tight deadlines.
  • Strong computer skills to support Microsoft 365 Office applications with an emphasis on PowerPoint Word electronic calendar management and various video conferencing and email applications.
  • A working knowledge of key corporate WorkSafe systems would be seen as an advantage including: Oracle Cloud Financials the Procurement Framework People Central and associated human resources policies and practices and Corporate Records Management systems.
  • Experience in the development and maintenance of office support systems and procedures together with the ability to suggest changes to improve effectiveness.
  • Certificate or diploma in administration and/or relevant administrative experience.
