Job Summary

Responsible for monitoring multiple large-scale program activities ensuring operational efficiency and alignment with organizational goals. Facilitates communication across departments monitors program timelines and supports project implementation to enhance program effectiveness. Tracks and ensures the schedule budget and details of various project and program tasks are well organized. Analyzes data prepares reports and provides regular updates to program leadership. Identifies and escalates issues and risks and recommends solutions. Leads and provides guidance and support to other administrative team members.

Essential Functions
-Leads the coordination and monitoring of multiple program activities timelines and budgets.

-Organizes meetings and events prepares agendas and attends and participates in stakeholder meetings.

-Assesses and escalates program risks and issues and provides solutions.

-Conducts research maintains and analyzes data in systems and develops reports to support programs.

-Assigns and monitors resources effectively to boost program efficiency and maximize deliverables.

The Voices Program Coordinator (Coordinator) plays a pivotal role in ensuring the work of the Center and the NCDI Poverty Network reflects and benefits from the insights and expertise of persons living with severe chronic conditions in low- and lower-middle income countries. They will nurture grassroots connections between people living with type 1 diabetes sickle cell disease and childhood heart disease in countries where the Network funds programs; and connecting this growing movement with complementary work being driven at the global level. The Coordinator will report to the CIS Senior Director of Advancement and interact with the Centers Policy and Programs teams on a regular basis.

Program Coordination and Administration
- Manage communications with 15 Voices advocates including meeting calendar invitations and agendas; meeting reminders; Network updates; and professional development opportunities.
- Prepare slide decks and program materials for Voices meetings application cycle and minigrants program. Support the same for quarterly Advocacy Working Group meetings.
- Run annual application process for Voices; new Voices on-boarding; and monthly meetings for Voices.
- Communicate and coordinate with guest speakers and trainers working with the Voices advocates.

Data Management and Technology
- Utilize the hospital systems tech stack thoughtfully to organize program materials and documents; and communicate asynchronously with Voices advocates and internal stakeholders
- Maintain an accurate up-to-date record of advocate contacts and status in the Centers CRM system

Coalition-Building
- Build and maintain relationships with each member of the Voices program. Serve as the primary point of contact for the Voices for PEN-Plus advocates.
- Proactively identify opportunities for Voices advocates to participate in the Network and/or speak on behalf of the Network.
- Collaborate with Communications colleagues and partners to develop assets beneficial to advocacy goals campaigns and coalition-building (eg resource library; social media content and toolkits; training materials)

Program support or program management experience 1-2 years required

Knowledge Skills and Abilities
- Ability to prioritize delegate and manage multiple projects and responsibilities simultaneously.
- Basic financial/accounting skills.
- Strong oral and written communication skills.

Preferred Qualifications

- 5 years experience in program coordination including at least 2 years experience involved with advocacy programs and advocates at a peer-to-peer and/or grassroots level

- Knowledge of the NCD and global health advocacy space: primary issues major players convenings and literature.

- Bias for action and inclusivity

- Organized and a strong communicator both verbal and written.

- A passion for global health and social justice.

- Lived experience with Type 1 Diabetes Sickle Cell Disease and/or Childhood Heart Disease

- MD MPH RN or other graduate-level training in clinical service or public health
