Position Summary
Reporting to the Manager of Administration & Finance this position provides comprehensive administrative and operational support to the Senior Associate Vice President for Development and the University Development Department.
The incumbent also supports the Directors of Development Development Associates and their teams by coordinating travel arrangements in Concur processing expense reports preparing agendas and meeting materials reconciling ProCard statements facilitating purchases through the P2P Marketplace and providing project support for Development initiatives.
Responsibilities encompass a broad range of administrative functions including mail processing records and file management budget support data collection and the preparation of routine reports. The incumbent works independently under general direction to support the administrative operations of University Development and may assume coordination and lead work responsibilities as assigned.
This role requires the ability to manage multiple priorities simultaneously while exercising sound judgment and discretion. The incumbent must interpret and apply policies and procedures effectively and address challenges through practical thorough and innovative problem-solving.
FLSA:Non-Exempt (eligible for overtime compensation)
Anticipated Hiring Range:$4367 per month. Anticipated hire is at Step 1 of the classification salary range.
CSU Classification Salary Range:$4367 per month (Step 1) -$6362 per month (Step 20)

- Experience providing clerical and administrative support functions.
- Expertise in using office software packages technology and systems (e.g. Microsoft Outlook Word Excel Access and PowerPoint).
- Ability to serve as the key contract and expert for a highly complex program.
- Ability to interpret and apply policies and procedures independently and use judgment and discretion to act when precedents do not exist.
- Ability to carry out a variety of professionally complete assignments exercising sound judgement political skill and discretion.
- Ability to troubleshoot most office administration problems and respond to all inquiries and request related to work area.
- Ability to work independently and exercise sound judgement.
- Self-motivated confident flexible with high emotional intelligence and sensitivity to others; diplomatic and able to maintain a high level of confidentiality.
- Experience with administrative process analysis and project planning.
- Experience in setting goals priorities and meeting established target dates.
- Experience independently researching and resolving problems.
- Exceptional communication skills in person on telephone via email or web chat; ability to maintain composure and professionalism.
- Ability to effectively interact with a diverse population of students faculty staff executives external entities/agencies and the general public.
- Working knowledge of financial record-keeping and procedures.
- Outstanding organizational and time management skills with the ability to coordinate multiple simultaneous projects and strict deadlines while producing accurate detail-oriented results.
- Commitment to maintaining a welcoming and inclusive work environment with diverse colleagues and constituents including faculty students staff and members of the community.
- Ability to work occasional evenings and weekends.
- Satisfactory completion of the background check process.

- Experience working at an institution of higher education.
- Knowledge of University system software (i.e. CHRS P2P Concur Finance Data Warehouse PeopleAdmin)
- Experience maintaining monitoring and reconciling budgets.
- Prior experience in an Advancement unit.
- Experience with planning events.
