- Description of Job
The Hands-On History Operations Support Specialist is responsible for the financial processing and administrative support of registration for youth camp and out-of-school-time programs. This position exists to provide essential organizational support by handling registration data input verifying discounts calculating payments submitting invoices tracking payment status and supporting child care licensure compliance. This is a key administrative support position that interfaces directly with program staff and customer registration data. This is a remote position that requires one day of in-person onboarding and training at History Colorado Center and other on site visits if needed. Up to 5 hours of availability must fall between 8 am and 6 pm Monday through Friday; other hours can be completed outside of this timeframe.
This position requires up to 20 hours of availability and commitment per week depending on the variability of enrollment for out-of-school programming. More hours may be required between January-March.Work includes but is not limited to the following: Manage Registration Tool Build and manage registration web pages via Jumbula (registration database) Track and document all registrations via Jumbula and Google Suite Regularly utilize and update Jumbula to ensure timely communication with team and families
Invoicing Create invoice orders in Shopify verify payments and follow up with families as needed Track invoicing information in Google Sheets and Jumbula Ensure all discounts are properly applied and request verification when necessary Manage and ensure accuracy of formulas utilized in Google Sheets and Workbooks Track and follow up on requests sent to families via email Process vendor invoices for HOH programs Submit requests for reimbursement for state & federal funding
Data Collection and Maintenance Build manage and maintain all necessary spreadsheets and workbooks Utilize Google Suite to track all processes Administer program surveys and assist with data collection
Child Care Licensure Compliance Manage immunization records and verification for students across program sites Track all required documents for registered students Assist with tracking statewide licensure processes and certifications
