Our Walnut Creek CA office has an exciting opportunity for a Client Service Associate! This role is a primary point of contact for clients and serves as the welcoming face of the office delivering an exceptional and professional experience. The Client Service Associate supports financial advisors with high-level administrative and operational tasks coordinates client meetings manages account and service requests and ensures smooth office operations.

This role is an On-site position.

In the spirit of pay transparency we are excited to share the base salary range for this position is $70000 to $90000 exclusive of bonuses and benefits. We encourage you to apply and provide us with your compensation expectations when you do. Were big on open conversations so lets have one.

Primary Job Functions

Reception and Office Support

  • Greet clients and ensure the office is clean and welcoming
  • Schedule meetings with product vendors and sponsors
  • Manage and distribute mail and coordinate overnight mail deliveries
  • Order office marketing materials and printer supplies; coordinate printer maintenance with vendors and Technology

New Client Onboarding

  • Ensure accurate completion of prospect and new client paperwork and setup
  • Follow up on funds transfers from surrendering companies
  • Maintain the CRM database and client files including filing copying and data input
  • Research and follow up on any issues with the Broker/Dealer WEG Operations and vendors
  • Record incoming assets to the appropriate tracking tools

Client Relationship Management

  • Engage in dialogue with clients to understand their personal history and financial needs
  • Prepare account transactions including trades deposits withdrawals and required minimum distributions
  • Communicate with clients to assess requests determine necessary actions escalate to advisors or handle issue resolution including death claim processing
  • Liaise with clients tax or legal counsel as needed

Client Review Preparation and Follow-Up

  • Gather client data and prepare materials for meetings and reviews
  • Conduct tax research (e.g. 1099 forms)
  • Complete review follow-up tasks as required

Industry Product and Company Knowledge

  • Demonstrate knowledge of and execute within WEGs Suitability Guidelines operational processes and sales model
  • Understand financial terminology and product offerings
  • Exhibit working proficiency with annuities mutual funds separately managed accounts fixed income stocks options alternative investments and charitable giving practices
  • Attend client services and company educational events
  • Participate in vendor presentations as appropriate

Team and Corporate Support

  • Support advisor team operations to improve processes
  • Complete operational projects that enhance or change team procedures
  • Communicate process and sales updates to the team
  • Mentor and train Client Service Associates
  • Manage vendors to agreed Service Level Agreements
  • All other duties as assigned.

Education/Qualifications

  • Bachelors degree (or equivalent experience) in a relevant field
  • Customer service training knowledge or experience
  • Ability and willingness to learn financial concepts and products
  • Capability to prioritize work meet deadlines and remain flexible under pressure
  • Strong team orientation and interpersonal skills
  • Ability to learn WEGs sales model processes and procedures
  • Proficiency in understanding financial product features and riders and the review process
  • Superior attention to detail and problem-solving skills
  • Excellent verbal and written communication skills
  • Proficiency with Microsoft Office Suite or related software
  • Familiarity with Salesforce and Support Org functionality
  • Experience with Workday preferred
  • AI literacy including the ability to use AI tools evaluate AI-generated content and adapt to evolving technologies

WEG hires employees and makes decisions about their salary qualifications based on factors such as the role to be performed; educational and professional experience qualifications skills and credentials; tenure cost-of-living and demand for the role in the applicable market. To comply with state pay transparency laws we must disclose the entire salary grade. The entire salary grade for those who are classified as this level is $57750- $126000. However the base salary range bolded above ($90000 to $100000) is what we expect to pay as a starting range for this position.
