Posting Description
SCHEDULER Office of the Provost executes administrative tasks critical to the effectiveness of VMS including the scheduling and support of mentoring sessions between all ventures and their mentor teams; filing management and organization of sensitive program materials related to venture development and VMS participation; maintenance of program data; management of day-to-day operations of the VMS office space; and assistance to guests of the VMS office. The Scheduler is responsible for coordinating with fellow VMS staff members to ensure efficient day-to-day operation of the VMS team mentoring program and physical office working under direction and supervision from Operations Manager and in collaboration with the Program Coordinator.
Job Requirements
REQUIRED: High School education or equivalent; a minimum of three years secretarial office or related experience; Customer-Facing Skills: Maintain professionalism and create a welcoming environment; excellent verbal and written communication skills; Organizational & Operational Competency: Exceptional organizational skills with the ability to prioritize multiple tasks adapt to last-minute changes and thrive in a fast-paced environment; Problem-Solving & Independence: Demonstrate strong attention to detail ability to research and troubleshoot issues and confidence in asking for help and acting on feedback; Collaboration: Work effectively both independently and as part of a team; Discretion & Judgment: Handle sensitive information with tact and maintain strict confidentiality. PREFERRED: Background in a start-up entrepreneurial environment or business setting; proficiency in the use of Microsoft Outlook for email and Dropbox for file management/sharing; strong knowledge of Microsoft Excel and Microsoft Word and familiarity with QuickBase or other database tools.
Infrequent evening hours may be requested based on particular program events.
