Job Summary

Position Summary

We are seeking an organized and dependable Records & Information Assistant to support our growing remote operations team. This entry-level position focuses on organizing digital records reviewing information maintaining internal files and ensuring documents and records are properly categorized and accessible.

The ideal candidate is comfortable working with computers pays close attention to details and can follow established procedures while working independently. You will assist various departments by maintaining accurate digital records processing routine documentation and helping ensure information moves efficiently through our internal systems.

Previous professional experience is not required. We welcome applicants who are beginning their careers or looking to transition into administrative operations or information-management work. Training will be provided.

Primary Responsibilities
  • Review incoming digital documents forms and records for completeness.

  • Organize electronic files using established naming and filing procedures.

  • Upload and categorize documents within company systems and shared databases.

  • Maintain accurate digital records and update information when changes are received.

  • Review existing records to identify outdated duplicate or incomplete information.

  • Assist with correcting basic documentation and record-keeping discrepancies.

  • Convert information from emails forms documents and other sources into organized digital records.

  • Maintain spreadsheets and tracking logs for ongoing administrative activities.

  • Process routine requests for documents or information from authorized team members.

  • Create and maintain organized electronic folders and document libraries.

  • Perform basic quality checks to ensure records are properly labeled and stored.

  • Assist with document scanning electronic filing and digital archiving when required.

  • Track completed and pending assignments and provide regular progress updates.

  • Communicate with supervisors when information is missing or requires clarification.

  • Support administrative projects and routine operational tasks as assigned.

  • Follow established procedures for handling confidential and sensitive information.

  • Participate in virtual training sessions team meetings and periodic performance reviews.
