Position Overview

This is a regular student intern position in which the student will work with the Advancement Services and Foundation Grants team on data cleanup and maintenance in the Raisers Edge NXT database assist with gift processing and fundraising reports and support other departmental projects. This gives the student valuable experience with the data systems and operational side of nonprofit and Foundation work.

Department Specific Job Functions

  • Assist with data cleanup projects to improve the accuracy completeness and consistency of constituent and advancement records.
  • Enter and update constituent donor gift pledge and related information in the advancement database and other systems.
  • Assist with gift processing including reviewing documentation recording gifts and pledges and supporting accurate gift entry and acknowledgment workflows.
  • Help maintain donor and constituent records including contact information biographical information relationships communication preferences and other record updates.
  • Assist with routine data quality review duplicate record identification coding updates and other database maintenance activities.
  • Support reconciliation documentation filing scanning and record-retention processes associated with advancement operations.
  • Assist with reports lists mailings projects and other operational needs that support fundraising and donor stewardship activities.
  • Provide general administrative and project support to Advancement Services and Operations staff.
  • Handle donor constituent and financial information with discretion and in accordance with University and Foundation policies.
  • Assist with other advancement services and operational responsibilities and special projects as assigned gaining broad exposure to the systems and processes that support philanthropy.

Enrollment Requirements

Fall/Spring Semesters: All student employees must be enrolled at least half-time to be eligible to work any UCO student position. Half-time enrollment for fall/spring semesters is considered 5 hours for graduates and 6 hours for undergraduates. F1/J1 Visa students must be enrolled full-time to be eligible to work as a student employee. Full-time enrollment is 9 credit hours for graduates and 12 credit hours for undergraduates.

Summer Semester: To work in a regular student position during the summer semester students must be enrolled in at least 3 summer credit hours or be enrolled in the upcoming fall semester in the minimum credit hours required for their classification and employment type. Students enrolled in fewer than 3 summer credit hours will be subject to FICA taxes during the summer term which apply to both the student and the department. For Federal Work Study Program (FWSP) positions students must be enrolled in at least 6 credit hours (undergraduate) or 5 credit hours (graduate).

Note: New incoming students are not eligible for student employment until the semester in which they begin classes.

Enrollment Exception: If the number of credit hours needed to graduate is less than the minimum number of hours required for student employment the student must obtain a letter from their Academic Advisor (stating the number of hours needed to graduate and anticipated graduation date) and submit it to Human Resources. This pertains to both regular and Federal Work Study Program positions. Contact for more information.

Qualifications/Experience Required

  • Current UCO student who meets the University student employment enrollment requirements.
  • Ability to maintain confidentiality and exercise discretion when working with donor constituent and financial information.
  • Basic proficiency with Microsoft Office applications and willingness to learn advancement databases and related systems.

Qualifications/Experience Preferred

  • Interest in nonprofit administration fundraising business operations data management finance accounting information systems or a related field.
  • Experience with data entry spreadsheets databases records management or other detail-oriented administrative work.
  • Strong organizational skills and comfort working with detailed information and repetitive processes that require accuracy.
