Job Summary
Job Title: Receptionist Job Summary:The Receptionist serves as the primary point of contact for shareholders visitors tenants vendors and contractors creating a welcoming and professional first impression of Sealaska Corporation. This position plays a key role in supporting Shareholder Relations by providing responsive customer service assisting shareholders with inquiries and records-related requests maintaining accurate information in the Shareholder Information System (SIS) and supporting shareholder outreach and addition to shareholder-facing responsibilities the Receptionist supports daily administrative and operational functions for Sealaska Plaza coordinating with the Office Manager and property management partners to help maintain a safe clean and efficient workplace environment. This position requires exceptional customer service skills attention to detail professionalism and the ability to balance front desk responsibilities with administrative support and shareholder service role will onsite at the Sealaska Juneau and welcome shareholders visitors tenants vendors and contractors in a friendly professional as the primary point of contact for incoming telephone calls emails mail faxes and walk-in and direct incoming calls promptly and accurately routing inquiries to the appropriate department or staff a clean organized and professional reception to routine shareholder inquiries and direct more complex questions to Shareholder Relations and relay messages for Shareholder Relations staff and maintain the Shareholder Relations phone with shareholders in person by telephone email and mail correspondence regarding shareholder records policies procedures forms and available shareholder verification requests from government and tribal update scan and maintain shareholder information and records in the Shareholder Information System (SIS).Process returned mail distribution checks IRS forms proxy materials and other shareholder correspondence as file organize and maintain electronic and physical shareholder and corporate with shareholder outreach initiatives meetings educational programs and special events as and distribute incoming mail packages emails and faxes to the appropriate Office Manager with coordinating conference room reservations and visitors for parking and coordinate visitor access with security as employee directories phone lists organizational contact lists parking lists and other administrative general administrative support including data entry filing document preparation record maintenance and report and maintain office and cleaning supply inventories and submit replenishment requests as with purchase requests supply orders and administrative tracking the Office Manager and contracted property management team in the day-to-day operations of Sealaska facility issues requiring immediate attention including security concerns maintenance requests equipment malfunctions parking issues and building safety ensure a safe clean and comfortable environment for employees tenants shareholders and confidentiality of shareholder employee and corporate -train with Shareholder Relations staff and provide backup support for departmental functions as other related duties and special projects as Skills/Abilities: Excellent attendance and high degree of telephone etiquette and the ability to deal with all types of callers and visitors in a professional to prioritize work to be self-motivated and to work under to deal with highly sensitive information and maintain to operate Polycom phone system computers and other standard office and ability to organize and maintain paper and electronic computer computer skills and deep knowledge of Microsoft Office have good organizational be accurate detailed and thorough with good communication and writing to work as part of a and Experience:High School diploma and/or a minimum of one year experience in a telephone service and/or customer service Conditions:The physical and work environment characteristics described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
