Are you organized approachable and comfortable keeping things moving when the phone rings and visitors arrive Polaris Direct is seeking a Receptionist to support our front office and help create a professional welcoming experience for everyone who calls or visits.

Reporting to the Controller youll handle calls greet guests coordinate mail and shipments and provide administrative support. Youll also play an important role in maintaining a secure workplace by following visitor check-in and access procedures.

• Answer and direct incoming calls using our phone and paging systems.
• Welcome visitors notify employees of their arrival and manage visitor identification sign-in records and badges.
• Monitor front-office activity and promptly report security concerns.
• Sort and distribute incoming mail process outgoing mail and prepare shipping labels.
• Maintain telephone lists front-office logs and an organized reception area.
• Monitor kitchen and office supplies and communicate replenishment needs.
• Provide administrative and clerical support to Finance and other departments.
• Handle confidential information carefully and follow Company security procedures.

• One to two years of receptionist customer service front-desk or administrative experience preferred.
• A professional courteous manner and strong communication skills.
• Attention to detail and the ability to stay organized while handling interruptions.
• Comfort balancing calls visitors and administrative tasks while maintaining front-desk coverage.
• Proficiency with Microsoft Office and a willingness to learn new systems.
• Good judgment dependability and the ability to remain composed in unexpected situations.
• A commitment to confidentiality teamwork and established procedures.
