Job Summary

Overview:

The Receptionist provides general office support and oversees front desk operations. Responsibilities include answering and directing calls distributing mail managing correspondence requisitioning supplies and supporting administrative functions. As the first point of contact for visitors clients and employees the Receptionist ensures a welcoming and professional environment while assisting multiple departments as needed.

Essential Functions:

1. 90%

  • Greets and welcomes visitors including vendors clients job candidates and customers in a courteous and professional manner.
  • Maintains security by following procedures monitoring the visitor log and issuing visitor badges as needed.
  • Answers screens and directs incoming calls to the appropriate personnel or department transferring a caller to a voice mailbox when the associate is unavailable.
  • Provides callers with information such as company address jobsite address directions to the company location company fax numbers company website and other related information.
  • Receives and distributes mail packages and deliveries promptly.
  • Handles incoming mail by receiving sorting and forwarding it appropriately while maintaining and distributing publications.
  • Coordinates the pick-up and delivery of express mail services (FedExUPS etc.)
  • Oversees and maintain the reception area breakrooms and mailroom to ensure they remain clean organized and professional in appearance.
  • Assists in ordering receiving stocking and distribution of office supplies and breakroom supplies.

2. Performs other duties as assigned. 10%

Education and Experience:

  • High school diploma or equivalent.
  • Previous experience as a receptionist front desk representative or a similar role within the construction industry preferred.

Skills/Abilities:

  • Excellent interpersonal and customer service skills.
  • Strong organizational and time management skills with the ability to multitask and prioritize effectively.
  • Strong attention to detail.
  • Good computer skills with the ability to learn and use related software and systems.
  • Proficient with Microsoft Office Suite (Word Excel Outlook).
  • Ability to communicate effectively and professionally with office and field staff both in person and through email.
  • Ability to maintain a positive attitude at all times while working with vendors and field staff.

Work Environment:

  • Office environment.

Physical Demands:

  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 20 pounds at times.
