Job Description

Mission:Independently perform basic operating tasks in his/her unit/department in keeping with the instructions provided by his/her supervisor in order to satisfy the projects are responsible for the performance of service contracts. They plan optimise and supervise the usage of resources to ensure that the services are rendered on time with the prescribed specifications and cost. Their most common duties include: Managing contracts drawing up budget estimates planning and establishing the phases of the service supervising the activities of the sub-contractors the subordinate staff and the workers verifying the quality of the work throughout all phases of the service etc.

Required Skills and Competencies

The Purchasing / Cost Analyst Project Management role supports procurement cost analysis and project coordination activities to ensure efficient sourcing cost control and timely project execution. This position collaborates closely with project managers client relationship managers and vendors to maintain accurate procurement records monitor inventory analyze costs and support project goals through data-driven insights.

Key Duties and Responsibilities

Procurement & Vendor Management

  • Research identify and source potential suppliers and vendors.
  • Obtain price quotations and negotiate pricing terms and conditions.
  • Maintain and update a comprehensive supplier database.
  • Communicate with vendors to resolve order discrepancies and delivery issues.
  • Coordinate delivery schedules and maintain strong positive vendor relationships.

Purchase Order & Inventory Management

  • Assist in creating reviewing and processing purchase orders for accuracy and completeness.
  • Track and monitor purchase order status to ensure on-time delivery.
  • Monitor inventory levels to prevent stockouts.
  • Assist with regular inventory counts and reconciliations.
  • Coordinate with internal departments to manage surplus or obsolete inventory.

Project Management & Collaboration

  • Collaborate with project managers and client relationship managers to support project goals progress and implementation.
  • Coordinate project schedules and prepare regular progress and status reports.
  • Review client-provided data and documentation to support project execution.

Cost Analysis & Data Management

  • Assist with cost analysis budgeting support and cost-saving initiatives.
  • Identify opportunities for cost reduction without compromising quality or service.
  • Oversee data entry and analysis selecting appropriate analytical methodologies as needed.

Documentation Compliance & Administration

  • Maintain accurate procurement records including purchase orders contracts and related documentation.
  • Organize and file procurement records for easy retrieval and reporting.
  • Ensure compliance with company procurement policies procedures and regulations.
  • Assist in the evaluation and qualification of new suppliers.
  • Stay current with procurement regulations and industry best practices.
  • Provide administrative support including scheduling meetings maintaining calendars and handling correspondence.

Education & Experience

  • Bachelors degree in Business Supply Chain Management or a related field or equivalent work experience.
  • Previous experience as a procurement assistant or in a similar role preferred.
  • Experience in a collaborative project management environment with demonstrated client relationship management skills. 2 years

  • Excellent written and verbal communication skills including negotiation capabilities.
  • High attention to detail with a strong commitment to accuracy.
  • Ability to work independently and collaboratively within a team environment.
  • Strong organizational planning and time-management skills.
  • Proficiency in Microsoft Office Suite (Word Excel Outlook).
  • Familiarity with procurement software and tools preferred.
  • Knowledge of procurement regulations and best practices is an asset.

Physical & Licensing Requirements

  • Ability to work in a manufacturing warehouse and corporate or outdoor environment.
  • Ability to stand walk bend squat climb and move throughout the facility to perform essential job functions.
  • Ability to lift carry push or pull up to 50 pounds with or without reasonable accommodation.
  • Ability to safely operate company vehicles forklifts and golf carts as required.
  • Must possess and maintain a valid drivers license.
  • Must be able to successfully pass pre-employment and ongoing background checks and drug testing in accordance with company policy and applicable laws.
