Overview:

This position supports the development of complex multi-disciplinary proposals and statements of qualifications (SOQs). The Proposal Coordinator II collaborates closely with technical staff marketing team members and subconsultants to manage content schedules and deliverables for high-quality compliant submissions. This role requires excellent organization and time management skills along with the ability to coordinate fast-paced proposal efforts independently.

Responsibilities:

  • Facilitate the proposal process

  • Coordinate the preparation development and layout of SOQs and proposal documents from kickoff through final delivery ensuring compliance with submission requirements

  • Format documents and ensure brand compliance and proposal consistency

  • Ensure proposals meet compliance requirements and align with evaluation criteria

  • Manage content development with input from marketing technical staff and leadership

  • Manage proposal schedules maintain pursuit checklists and ensure timely submission of all components

  • Facilitate proposal kickoff and milestone meetings to maintain progress and accountability

  • Support QA/QC processes to ensure high-quality error-free deliverables

  • Maintain and update proposal databases libraries boilerplate material and template

  • Conduct research and gather information from internal teams to support proposal content

  • Track and manage multiple deadlines simultaneously prioritizing tasks based on project needs

  • Contribute to identifying proposal process improvements and content updates

Qualifications:

  • Bachelors degree in English Communications Marketing or related field preferred

  • 4 years of experience in a proposal coordination role preferably in the AEC (Architecture Engineering and Construction) industry

  • Proficiency in Adobe InDesign Microsoft Word PowerPoint and Acrobat

  • Strong writing editing and proofreading skills

  • Excellent organizational skills and the ability to manage multiple concurrent deadlines

  • Effective communicator with the ability to collaborate with technical and non-technical staff

  • Dependable and flexible with a proactive team-oriented approach

  • Availability to work Monday Friday 8am 5pm with overtime as needed
