Project Coordinator Facilities & Operations

Purpose

Plan coordinate and manage District capital construction and facility improvement projects in accordance with District standards budgets and schedules.

Primary Function

The primary function of an employee in this position is to work with Facilities Leadership school administrators staff contractors architects engineers consultants and governing agencies to plan organize coordinate and complete approved construction projects within the Districts established standards and procedures. Duties include overseeing the planning process preparing project estimates and budgets obtaining bids and proposals coordinating activities and schedules of District staff and outside partners monitoring project progress using District project management systems assisting with contract administration and change order review acting as the primary point of contact for project communication coordinating project punch-list completion and warranty requests reviewing project documentation and contractor payment applications and preparing regular project status reports.

Essential Duties & Responsibilities

  • Participates in capital project planning processes; coordinates with District architects engineers consultants and Facilities Leadership to develop project scope schedules and estimated costs.
  • Coordinates all aspects of construction renovation modernization infrastructure and facility improvement projects whether funded by the District schools grants bonds or other sources.
  • Monitors project progress service agreements architectural plans project schedules and construction activities; attends Owner-Architect-Contractor (OAC) meetings and assists in managing change order processes.
  • Serves as the primary contact for dissemination of project information to Facilities Leadership school administrators contractors consultants and other stakeholders regarding project schedules activities and status.
  • Coordinates project punch-list completion warranty call-back requests and maintains appropriate documentation.
  • Meets with Facilities Leadership and District staff to review project requests determine feasibility establish scope develop schedules and identify budget requirements.
  • Assists in obtaining project estimates and solicits quotes proposals and bids from contractors and consultants.
  • Coordinates with city county state utility building fire and health agencies to obtain permits inspections approvals and certificates of occupancy.
  • Reviews contractor progress and assists with processing applications for payment project documentation and closeout requirements.
  • Maintains project schedules budgets records reports and supporting construction documentation utilizing District project management systems.
  • Keeps the Director of Facilities Assistant Director of Facilities and other stakeholders current on project actions schedules budget impacts needed repairs and project status.
  • Assists with portable classroom projects site improvement projects and other capital improvement initiatives.
  • Represents the Facilities Department with contractors consultants architects engineers utility companies and regulatory agencies.
  • Prepares regular project status reports and presentations as requested.
  • Performs other related work as designated by the Department Administrator.

Other Duties & Responsibilities

  • Completes assigned duties in other department divisions when needed.
  • Conducts research work related to assigned tasks and capital improvement projects.
  • May be required to work outside of regularly scheduled work hours.
  • Performs other related duties as required.

Abilities Required

  • Plan budget inspect and complete specialized construction and renovation projects.
  • Determine estimated project costs and assist in bid processes for approved school projects in accordance with District policies and procedures.
  • Perform cost-benefit analyses of projects provide quality services in a cost-effective manner and recommend improved methods of performing work.
  • Read and interpret blueprints specifications contracts and project documents.
  • Plan and complete a variety of construction-related tasks efficiently and effectively.
  • Maintain detailed and accurate records of work performed.
  • Prepare accurate complete and timely reports.
  • Communicate effectively both orally and in writing.
  • Perform multiple tasks simultaneously including interruptions and changing priorities.
  • Work independently or as a team member.
  • Follow oral and written instructions and observe District policies and procedures.
  • Maintain confidentiality.
  • Establish and maintain effective working relationships with District staff students patrons contractors consultants utility providers and governmental agencies.

Acceptable Experience & Training

  • High school diploma or GED required. Bachelors Degree is preferred in Construction Management Engineering Architecture Project Management Facilities Management or a related field.
  • Five (5) years of construction facilities capital project management or related experience preferably in construction management.
  • Experience with public-sector construction contract administration consultant coordination project budgeting and project scheduling preferred.
  • Any equivalent combination of experience and training provides the knowledge and abilities necessary to perform as an effective and competent Capital Projects Manager.

Licenses or Certifications

  • Valid Idaho Drivers License is required.
  • Certified Construction Manager (CCM) Project Management Professional (PMP) LEED Accreditation or related industry certification preferred.

Essential Physical Abilities

  • Manual Dexterity: Sufficient dexterity (with or without reasonable accommodation) to operate work equipment computers mobile devices vehicles and perform project inspections.
  • Mobility & Strength: Sufficient personal mobility agility strength and reflexes (with or without reasonable accommodation) to work indoors and outdoors walk active construction sites stand or sit for extended periods climb stairs and ladders and perform construction-related inspections

Ability to safely lift carry and transport materials equipment and supplies weighing up to 70 pounds with or without reasonable accommodation.

Evaluation

  • Yearly by supervisor.

Terms of Employment

  • Calendar year assignment to be determined by the District.
  • Regular attendance is an essential function of this position
  • If selected for this position employment with the District is considered at-will. Employment at-will means that either the employee or the District may terminate the employment relationship with or without cause and with or without notice at any time.
