Job Summary

POSITION PURPOSE

The Project Coordinator is a key liaison with the sales and operations groups of Jamison Products a business focused on engineered filtration straining and pipeline equipment serving oil & gas LNG municipal water and industrial markets and the broader Allied Reliability company. As Project Coordinator you will have diverse responsibilities developing quotations procuring materials managing projects and assisting others in the business. This role requires developing a strong technical understanding of filtration and pipeline products.

ESSENTIAL FUNCTIONS AND BASIC DUTIES

1. Inside Sales

  • Develop a high-level technical understanding of Jamison Products.
  • Provide technical proposals to clients.
  • Follow up on quotations.
  • Work with the Technical Sales team to close projects.

2. Project Management / Order Entry

  • Manage major project awards from PO receipt to delivery.
  • Enter orders for standard orders.

3. P21 (ERP) System Support

  • Learn and support the team with ERP system questions.
  • Support the overall team with order entry product numbers and SKU entry.
  • Enter ship-to addresses for approved clients under the supervision of accounting.

4. Operations & Execution

  • Manage order execution manufacturing coordination and delivery for assigned projects.
  • Ensure operational discipline from quote to order to delivery with a strong focus on lead times quality and margin protection.
  • Support continuous improvement in supply chain reliability vendor performance and internal processes.
  • Interface with accounting personnel to coordinate activities including verification of billings commission recognition and vendor invoices.

5. Quality Control / Data Contribution

  • Work with the Quality Control team to ensure quality control functions are properly maintained including the integrity of records and project files.
  • Prepare customer reports and communications under the direction of Quality Control.
  • Review report processing operational activities and year-end reporting.
  • Partner with Quality and other groups to ensure specifications codes and customer requirements are consistently met.

6. Assumes responsibility for related duties as required or assigned.

  • Complete required reports and documents.
  • Ensure all work areas are clean secure and well maintained.
  • Complete special projects as assigned.

PERFORMANCE MEASUREMENTS

1. Sales Effectiveness

  • Quotation efficiency: Number of quotations completed; compliance with Service Level Agreement (SLA) on quotation completion.
  • Gross margin: Margin percentage by product line.
  • Order entry efficiency: Compliance with SLA on order entry.

2. Commercial Execution & Market Growth

  • Pipeline health: Coverage ratio stage progression and conversion rates.
  • Win rate on strategic bids: Percentage success on priority pursuits.
  • Pricing discipline: Margin adherence versus target pricing guidelines.

3. Operational Execution

  • On-time delivery (OTD): Percentage of orders delivered on schedule.
  • Order cycle time: Quote-to-delivery lead time reduction.
  • Manufacturing and supply chain performance: Vendor reliability cost adherence and schedule compliance.
  • Quality metrics: NCRs rework rates and warranty claims.
  • Backlog execution: Conversion of backlog to revenue within planned timelines.

4. Business Support

  • Account setup procedure followed.
  • Compliance with required procedures and policies to execute business.

5. Organization

  • The companys professional reputation and service excellence are maintained.

KEY PERFORMANCE INDICATORS (KPI)

Quotations

  • Complete 45 quotations per month.
  • Maintain quoted margin compliance by product line.

Project Management

  • Deliver projects on time and in full within the quoted period.
  • Deliver required data to clients within the specified window.

Data Entry

  • Maintain compliance with the established Service Level Agreement (SLA).

Team Support

  • Provide timely responses to colleague requests for support.

Job Performance

  • Maintain compliance with all procedures and requirements.

QUALIFICATIONS

Education/Certification: Bachelors degree preferred. Experience may be substituted.

Required Knowledge: Understanding of filtration systems strainers pressure vessels pipeline equipment or similar engineered products.

Experience Required: 5 years of experience in engineered products filtration pipeline equipment closures or industrial manufacturing.

Skills/Abilities:

  • Experience managing multiple priorities.
  • Ability to work with minimal supervision.
  • Strong technical and computer skills.
  • Well organized and detail oriented.
