Job Summary

This position is with the KPFF Planning Team which is a specialized group of planners within KPFF that focuses on waterborne transportation feasibility planning maritime decarbonization sustainability and land use entitlement projects. Example projects include: PSRC Passenger-Only Ferry Study WSF System Electrification Plan.

The KPFF Planning Team is looking for an organized detail-oriented professional to join our small collaborative team. Working under a Senior Project Management team you will assist multiple project managers with project controls and coordination team workload planning and other miscellaneous support this role you will be responsible for leading contract controls and project coordination for all Planning Team projects ensuring that project work is delivered within scope schedule and budget.

This role will be based in Seattle WA and will be a hybrid position including some in-office and some remote work.

Job Responsibilities:

  • Contract Administration and Project Controls
  • Manage contract scope and fee compliance for all projects and lead coordination with clients regarding contracting and invoicing
  • Set up and manage spreadsheets for fee estimates cost tracking and billing
  • Prepare subconsultant agreements
  • Develop and maintain project schedules
  • Project Accounting including budget tracking and management and project set up
  • Process subconsultant invoices and manage communication with subconsultants regarding invoicing requirements
  • Review/prepare project invoices and progress reports
  • Planning Team Program Support
  • Prepare billing and workload forecasts
  • Draft scopes of work and fee estimates for proposals including review of proposal requirements and preparation of documentation
  • Support team operations as needed in a collaborative environment

Qualifications :

Minimum Qualifications

  • 2-5 years of finance accounting administrative or business support experience
  • Associates or bachelors degree in Finance Accounting Business or a related field preferred but not required with relevant experience
  • Microsoft Office Suite: Advanced Word and Excel Project PowerPoint
  • Efficient time management and ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Enjoys challenges positive and self-motivated
  • Dependable and ability to work independently
  • Effective verbal/written communication style appropriate for professional team setting
  • Strong attention to detail with a focus on accuracy and organization
  • Comfortable working with financial data reports invoices and budgets
  • Ability to work professionally with individuals at all levels of the organization
  • Take initiative and have fun!

Desired Qualifications

  • Experience in Bluebeam BST financial accounting software
  • Data management and document review experience

Additional Information :

Physical Demands:

  • Duties are primarily conducted in a standard office setting requiring prolonged periods of sitting at a desk or computer table.
  •  Occasionally may be required to lift objects weighing up to 15 lbs.
  • Occasionally visiting project locations and performing field inspections which may involve walking standing kneeling or navigating uneven terrain.
  •  Traveling to project sites or client meetings which may involve driving or flying.

Compensation:

The base salary for this role is competitive and will be determined based on the candidates experience education and skills. The expected range for a qualified candidate is $25.00 to $40.00 hourly.
