Job Summary
This position is located at the Southern Arizona VA Health Care System (SAVAHCS) in Tucson Arizona in the Nursing Acute Care department. The Program Support Assistant provides administrative support and technical assistance within the service line to include: typing writing analyzing problems file management data entry primary Timekeeper for the service and serves as the point of contact for staff veterans and visitors.
Duties include:
- Performs a variety of administrative and support type duties in such areas as administration budget records and files management property accountability and reports.
- Monitor/track competency files/requirements for professional staff revises analyzes and evaluates the accomplishments of various office administrative functions such as records management reports control forms control and administrative standard operating procedures.
- Responsible for transmission of weekly/biweekly reports and other monthly data reports as per request.
- Receives routes and distribute all mail correspondence. Drafts SOPs and service memoranda.
- Performs work involving the collection formatting basic analysis compilation and/or tracking of a wide variety of data and statistical information in support of an organizations program operation.
- Receives formats enters sorts compile and configure data from a variety of sources for recurring and non-recurring reports charts and graphs used in evaluating staff hours and monies spent for Overtime Annual Leave and Sick Leave.
- Serves as primary Timekeeper within the department.
- Responsible for the preparation maintenance and timely submission of Time & Attendance reports for each employee whose record has been assigned to their jurisdiction.
- Timekeeper ensures timely and accurate posting of all exceptions to the employees normal tour of duty.
- Coordinates and manages all resources including supplies telephone and computer moves within Nursing Ambulatory Care.
- Provides general office supply and equipment support services such as obtaining standard office supplies and services procuring or justifying the full range of office services or answering questions concerning policies and procedures related to support/office services.
Work Schedule: Monday - Friday 7:30am - 4:00pm

Time-In-Grade Requirement: Applicants who are current Federal employees and have held a GS grade any time in the past 52 weeks must also meet time-in-grade requirements by the closing date of this announcement. For a GS-06 position you must have served 52 weeks at the GS-05. The grade may have been in any occupation but must have been held in the Federal service. An SF-50 that shows your time-in-grade eligibility must be submitted with your application materials. If the most recent SF-50 has an effective date within the past year it may not clearly demonstrate you possess one-year time-in-grade as required by the this instance you must provide an additional SF-50 that clearly demonstrates one-year time-in-grade. Note: Time-In-Grade requirements also apply to former Federal employees applying for reinstatement as well as current employees applying for Veterans Employment Opportunities Act of 1998 (VEOA) appointment.

- Specialized Experience: You must have one year of specialized experience equivalent to at least the next lower grade GS-05 in the normal line of progression for the occupation in the organization. Examples of specialized experience would typically include but are not limited to: experience utilizing office automation tools to building and maintain electronic files generating reports and creating documents; experience performing customer service duties such as providing administrative support to medical staff in clinic management processes; reviewing and processing official documents and forms to ensure compliance with an organizations policies directives guidelines or training materials.

Experience refers to paid and unpaid experience including volunteer work done through National Service programs (e.g. Peace Corps AmeriCorps) and other organizations (e.g. professional; philanthropic; religions; spiritual; community; student; social). Volunteer work helps build critical competencies knowledge and skills and can provide valuable training and experience that translates directly to paid employment. You will receive credit for all qualifying experience including volunteer experience.
Note: A full year of work is considered to be 35-40 hours of work per week. Part-time experience will be credited on the basis of time actually spent in appropriate activities. Applicants wishing to receive credit for such experience must indicate clearly the nature of their duties and responsibilities in each position and the number of hours a week spent in such employment.
Physical Requirements: The work is primarily sedentary but does require standing sitting bending stooping walking and carrying of light items such as books paper and equipment. At times the work may also include assisting with equipment and patient movement utilizing proper body mechanics.
