Short Description

This multi-grant funded position supports the implementation and operational success of a variety of grant-funded programs and initiatives through administrative programmatic outreach and logistical support.

Responsibilities may include coordinating meetings and events supporting community and participant outreach tracking program activities and grant deliverables managing supplies and inventory assisting with data collection and reporting and transporting supplies and equipment as needed.

The Program Assistant works closely with the Grants team program staff clinical teams and community partners to support effective program operations community engagement and achievement of grant objectives.

Program and Administrative Support:Provide administrative support for grant-funded programs and initiatives including coordinating activities preparing materials maintaining records scheduling meetings and supporting communication among internal teams external partners and community stakeholders.

Grant and Data Management Support: Assist with tracking program activities grant deliverables service utilization referrals and outcomes. Support data collection data entry reporting and other documentation required for program evaluation quality improvement and grant compliance.

Patient and Participant Engagement: Conduct outreach and follow-up communications with patients participants and community members including appointment reminders engagement calls referral coordination and dissemination of program information and resources.

Community Outreach and Event Support: Support community engagement outreach activities health promotion events educational presentations and partnership meetings. Distribute educational and promotional materials and represent programs in a professional and respectful manner.

Inventory Supplies and Logistics Coordination: Coordinate inventory and assist with ordering tracking receiving organizing storing and distributing program supplies equipment and materials.

Monitor stock levels and maintain accurate inventory records to support ongoing program operations.

Operational and Site Support: Provide logistical support for program activities meetings outreach events and community-based services including setup and breakdown transportation of supplies and equipment and coordination of event-related resources.

Collaboration and Communication: Work closely with grants staff clinical teams and community partners to support grant-related activities facilitate communication and contribute to successful program implementation across multiple initiatives.

Compliance and Professional Standards: Adhere to organizational policies and procedures related to confidentiality professionalism safety infection control and client-centered service delivery.
Other tasks assigned

Experience Required

Requires experience driving and towing which may include personal or professional experience or a demonstrated understanding of safe towing practices and trailer maneuvering.

Strong customer service and event coordination skills are a plus especially for engaging diverse communities managing logistics in dynamic settings to create a welcoming and organized clinic environment for both mobile and fixed clinic operations.

Education Requirements

High School Diploma Required

Equivalent experience will be considered particularly in roles involving transportation outreach client engagement or program/event coordination.

Candidates with a combination of 35 years of relevant work experiencesuch as driving and maintaining mobile units supporting community health programs managing inventory or coordinating multi-partner eventsare encouraged to apply.

License/Certification Requirements

Valid Drivers License Required

Special Requirements

Applicants with prior Commercial Drivers License (CDL) experience will be given special consideration as their background demonstrates familiarity with operating larger vehicles and adhering to transportation safety a CDL is not required to applycandidates with personal or professional towing experience and a strong understanding of safe driving practices are encouraged to apply.
