Job Summary:
Provides coordination and administrative support to preconstruction and estimating teams in managing bids proposals and documentation with a strong focus on organization accuracy and prioritization of work. Assists with subcontractor outreach data entry and bid tracking to ensure accurate and timely project delivery support for multiple concurrent projects including coordinating and working with the prequalification liaison to support the prequalification of trade partners as part of the solicitation process. Contributes to the smooth operation of preconstruction activities by maintaining organized systems and clear communication among team members and trade partners.
Key Responsibilities:
Assists in the preparation distribution and tracking of bid invitations proposals and related documentation.
Communicates with trade partners suppliers and vendors regarding bid requests and deadlines including coordination with Self-Perform Work (SPW) Equipment Integration Group (EIG) and prefabrication teams to ensure appropriate trade partner and vendor coverage.
Maintains bid solicitation software database contact lists and bid logs with current and accurate information.
Organizes and updates drawings specifications and addenda for use by preconstruction team.
Supports scheduling meeting coordination and documentation for estimating activities.
Provides administrative assistance for proposal preparation presentations and internal coordination.
Ensures consistent application of document control and confidentiality standards.
Education Qualifications:
High School Diploma/GED or equivalent experience required.
Work Experience:
24 years of experience in estimating coordination construction administration or a related field required.
Experience with estimating software such as Building Connected or equivalent bid solicitation software preferred.
Certifications and Licenses:
None required.
