Job Summary
A manufacturing company is seeking a highly organized and proactive PMO Specialist to support the Project Manager and help keep multiple projects organized on schedule and moving efficiently.
This role is ideal for someone who excels at creating structure in a fast paced environment. The PMO Specialist will coordinate meetings and schedules maintain project documentation track deadlines and deliverables follow up on action items and communicate across multiple departments.
The ideal candidate is dependable detail oriented and proactive. This person should not simply track what needs to happen but take ownership of following up and helping ensure that it actually gets done.
Key Responsibilities:
Coordinate meetings and scheduling across internal teams vendors and external partners
Prepare and distribute agendas meeting notes status updates action item trackers and other project materials
Maintain organized project files documentation and tracking systems
Attend project meetings document decisions and clearly identify next steps and responsible parties
Follow up with team members on outstanding action items and commitments
Track project deadlines milestones timelines and deliverables
Provide reminders and follow up to help keep projects on schedule
Assist the Project Manager with project updates budgets timelines and leadership reviews
Coordinate communication between departments and ensure important information is shared
Identify missing information approaching deadlines and potential administrative roadblocks
Maintain confidentiality when handling sensitive company project vendor client or financial information
Provide additional project support data entry and document organization as needed
Qualifications:
2 years of experience in project coordination PMO support or a similar project based role
Strong organizational and time management skills
Excellent attention to detail and consistent follow through
Strong written and verbal communication skills
Ability to manage multiple priorities in a fast paced deadline driven environment
Proficiency in Microsoft Outlook Word Excel and PowerPoint
Experience with Asana SharePoint or similar project management tools is a plus
Comfortable working with project schedules milestones deadlines deliverables and action item tracking
Ability to work independently take initiative and escalate issues when appropriate
Experience supporting Marketing Construction IT Operations or other cross functional projects is a plus
Familiarity with project management concepts such as scope dependencies timelines and deliverables preferred
Proactive dependable and comfortable following up across multiple teams
