Duties and Responsibilities
Payroll Data Management: Enter maintain and process payroll information with strict attention to detail and accuracy including hourly rates salaries commissions bonuses other compensation hours worked paid leave holidays deductions withholdings address changes and other employee payroll data.
Payroll Deductions and Payments: Ensure accurate end-to-end processing of multi-state payroll deductions including taxes benefits charitable contributions and other deductions. Issue or reissue physical checks replacement checks or direct deposits related to payroll corrections or final discharge payments.
Compliance and Employee Records: Maintain compliance with federal and state record keeping requirements including I-9 E-Verify electronic personnel files in Document Cloud unemployment claims statutory state reporting forms Work Opportunity Tax Credit reporting and Department of Labor forms.
Employee Changes in ADP: Process new hires transfers terminations and personnel changes in ADP accurately and timely.
Issue Resolution and Communication: Research and resolve payroll issues and discrepancies and communicate effectively with employees managers supervisors and ADP support personnel.
Timecard Review and Payroll Readiness: Review weekly employee timecards for accuracy and completeness. Verify hours worked overtime paid time off and attendance records. Identify and correct discrepancies before payroll processing coordinate with supervisors and employees to resolve timekeeping issues maintain accurate records and meet weekly payroll deadlines.
Punch Corrections: Ensure required backup is received for all punch corrections and assist with corrections as needed.
Employee Support: Handle employee phone calls regarding PTO insurance paychecks and deductions. Answer questions about navigating ADP time management software.
Payroll System Troubleshooting: Create and manage cases as needed to troubleshoot payroll software issues.
Work Environment and Team Support: Work independently and collaboratively with minimal supervision in a high-volume demanding deadline-oriented environment. Assist team members as workflow demands and provide coverage for human resource specialist duties or regional payroll processing during vacations and periods of increased workload.
Reporting: Create ad-hoc payroll reports as needed.
Additional Duties: Perform other duties as assigned.
Qualifications
Minimum of 35 years of experience managing high-volume multistate payroll.
Certified Payroll Professional designation preferred.
Experience with online payroll systems; ADP Workforce Now and Workforce Manager preferred.
Proficient with Microsoft Office Suite or related software.
Knowledge of federal state and local payroll taxes and applicable payroll labor laws.
Strong organizational skills and attention to detail.
Must meet the legal age requirements to work in the applicable state city or town.
English language proficiency required to support effective communication and customer service.
Must be punctual and maintain reliable time and attendance.
Demonstrate honesty integrity and respect when interacting with customers coworkers vendors and supervisors.
Maintain a professional appearance and conduct.
Must provide reliable transportation to and from work.
Strong interpersonal communication organizational and follow-through skills.
Physical Requirements
Ability to sit for extended periods while working at a desk and using a computer.
Ability to lift up to 15 pounds as needed.
Ability to work effectively and remain composed in a fast-paced deadline-driven environment.
Ability to see and hear effectively.
Ability to work a full-time schedule.
