This rewarding role serves as a vital first point of contact for patients and families ensuring a positive experience while supporting accurate registration insurance verification and revenue cycle processes.

Position Summary

The Patient Access Specialist is responsible for onsite patient registration insurance verification appointment scheduling and point-of-service collections. With occasional guidance this role also helps resolve registration billing insurance and payment-related inquiries while delivering outstanding customer service to patients and families.

Key Responsibilities

Patient Registration & Insurance Verification

• Obtain verify and update patient demographic information.
• Complete patient check-in and check-out processes accurately and efficiently.
• Distribute clinic-specific forms and required documentation.
• Verify guardianship information and obtain insurance cards.
• Verify insurance coverage and eligibility.
• Secure authorization and referral information as needed for each encounter.
• Create and maintain patient charts within the electronic health record (EHR) system.

Financial Responsibilities

• Collect copays prepayments and outstanding patient balances.
• Assist with registration billing insurance and payment inquiries.
• Support revenue cycle activities while maintaining excellent customer service standards.

Scheduling & Documentation

• Schedule patient appointments according to departmental policies and procedures.
• Ensure required annual forms are complete accurate current and maintained in accordance with organizational policies.

Administrative Support

• Sort and distribute mail medical records and other correspondence.
• Receive delivered equipment and documents.
• Maintain a clean organized and professional lobby and work area.
• Participate in staff meetings educational sessions and ongoing training.
• Take phone messages and provide administrative support as needed.
• Perform additional duties during downtime including attaching claims to visits and working assigned work queues.

Qualifications

Required

• High School Diploma or equivalent.
• Specialized training beyond high school (1-2 years preferred).
• Minimum of 2-3 years of medical office experience.

Preferred

• Bilingual (English/Spanish).
• Experience with Epic electronic health record system.
