Job Summary
POSITION SUMMARY
The Part-Time Administrative Assistant supports the firms daily operations through phone coverage scheduling coordination and administrative assistance across departments. Reporting directly to the Office Manager this role offers hands-on experience with the systems and processes that keep a professional office running smoothly.
RESPONSIBILITIES
Provide primary phone support by answering incoming calls gathering necessary information and directing callers to the appropriate team member.
Greet clients guests and vendors and provide front-desk coverage.
Provide support to the Reception team including but not limited to:
Mail processing
Sending the Daily Agenda
Conference room set-up breakdown and management.
Coordinate calendars conference room schedules and meeting logistics.
Ensure conference rooms and shared office spaces remain organized stocked and ready for use.
Assist with mailings document management data entry filing and record-keeping across departments.
Provide general administrative support and assist with special projects as assigned.
Provide administrative support for all departments including but not limited to:
Assistance with daily needs such as lunches coffee etc.
Maintain departmental procedures calendars reports and administrative resources.
REQUIREMENTS
Strong organizational and computer skills with intermediate level proficiency in Microsoft Suite including Outlook Excel and Word
Excellent oral written and interpersonal skills.
The ability to anticipate support requirements and work with all levels of management are critical skills needed to be successful in this role.
Ability to maintain a high degree of confidentiality regarding organizational clientele and personnel matters.
Ability to maintain a polished professional appearance at all times.
Location: This position is 100% in person based out of our office in McLean VA.
Compensation: The anticipated salary range for this position is up to $23.00/hr commensurate with experience.
Schedule: This is a part-time position requiring approximately 2025 hours per week to be completed during our core business hours of 9:00 a.m. to 5:00 p.m.
