Job Summary:

Reporting to the BNPA Operations Manager the primary role of this position is to provide administrative and program support to BNPA with a primary focus on the State WIC Hot-line. The position will provide Spanish and English assistance to WIC clients ensuring timely access to information assistance referrals and appropriate WIC resources while providing consistent and responsive customer service. Additional responsibilities include coordinating special projects meetings operational reports program documentation records retention and print materials and supplies for WIC Team Members. The position will maintain program files calendars and funding-related documentation and serve as the liaison between BNPA and the State of Arizona Archives to ensure records are maintained in accordance with state and program requirements. The position will support several BNPA programs provide facility and operational assistance and serve as backup to Bureau teams as needed. The position may also be required to attend meetings at alternate locations and travel when necessary. This role supports BNPAs commitment to an inclusive diverse and equitable workplace that reflects the communities served by ADHS.

Job Duties:

Responsibilities include:
Providing Spanish and English assistance to clients contacting the State WIC Hot-line ensuring participants have timely access to information assistance referrals and appropriate WIC resources.
Manage BNPA record retentions by sorting screening identifying classifying listing packaging tagging and delivering BNPA documents to the receiving official. Serving as the primary liaison between BNPA and the State of Arizona Archiving Office to ensure proper records retention and compliance with applicable requirements.
Coordinates special projects as assigned planning operational reports meeting coordination document management and the coordination / maintenance of supplies and equipment in house.
Provides facilities support to the BNPA state inventory control program; monitoring tracking and reconciliation of all office equipment.
Provided administrative support for all the BNPA. including processing daily mail and incoming shipments.
Serve as assistant tenant coordinator as needed.
Other duties as assigned as related to the position.

Knowledge Skills & Abilities (KSAs):

Knowledge of:
Rules and regulations concerning archiving for all BNPA programs by program and the State government.
State Asset maintenance and control.
General office procedures and policies.
General rules of correspondence preparation.
Performance management model and continues quality improvement methods in a public health setting.

Skilled in:
Microsoft Office software.
Google Workspace.
Math computations and solving math problems.
Grammar and spelling to proof BNPA materials and correspondence.

Ability to:
Interpersonal communication.
Work with diverse groups of employees.
Multitask.
Resolve or handle conflict.

Selective Preference(s):

High School Diploma or equivalent Spanish speaking skilled in Microsoft Office and/or Google Workspace has experience with telephone customer service and administrative duties.

Retirement:

To help you build a financially secure future the State makes monthly contributions to finance your retirement benefit. The State will contribute to the ASRS in an amount equal to your other words you and the State will each pay 50% of total cost of the benefit.
