Job Summary

The Operations Manager will provide overall direction and oversight for all operations functions in the New Mexico Business Unit including Facilities Office Management Fleet Safety and Onboarding.

They will promote operational excellence and work towards meeting the strategic priorities of the New Mexico Business Unit by developing and coordinating tactics for approved plans and completing and/or overseeing day-to-day tasks. They will collaborate with team members to ensure that operational functions and services are delivered effectively.

The Operations Manager must become familiar with the systems and resources utilized by the team and apply knowledge to managing support and designing communications related to the team functions. They will develop documentation modify processes and participate in the enhancement of systems and tools used by the team with a focus on harmonizing systems and processes and implementing best practices from across TNC. They will manage diverse tasks analyze situations evaluate alternatives project outcomes and implement solutions to improve effectiveness.

Office Operations & Facilities Management

  • Coordinate routine facility needs in Santa Fe and other satellite offices including maintenance requests HVAC issues lighting replacement and vendor service calls

  • Manage incoming and outgoing mail package distribution and post office deliveries

  • Maintain office inventory and supplies

  • Coordinate catering and food orders for meetings events and staff gatherings

  • Lead statewide safety efforts and support Youth Safety compliance as necessary

Organizational Support & Event Coordination

  • Advise and coordinate logistics for organizational events including staff retreats board retreats holiday celebrations and other internal gatherings

  • Assist with preparation and logistics for donor field trips and special events

  • Provide administrative support for trustee engagement activities including meeting setup and materials preparation. Work closely with NM Trustee Liaison

  • Print and mail correspondence and organizational materials and assist with travel planning and scheduling for State Director.

  • Serve as point of contact for TNCs Information Systems updates and management

Fleet & Asset Management

  • Oversee organizational vehicle administration including registration renewals insurance documentation maintenance scheduling and parking permit management

  • Track and maintain organizational inventories including promotional materials and branded merchandise

The Operations Manager will work in close cooperation with any or all of the following: Conservancy staff donors trustees volunteers vendors public agencies and legal and accounting professionals. They will interface with business unit leadership to report on activities and ensure that operations services are meeting business needs. They will serve as a liaison to central teams (IT HR recruiting and others).

RESPONSIBILITIES & SCOPE

  • Act independently within broad program goals to prioritize tasks in the absence of specific instructions and exercise independent judgment to identify and solve problems

  • Demonstrate sensitivity in handling confidential information

  • Ensure compliance with Conservancy policies and procedures and external requirements; Decisions may bind the organization financially or legally

  • Financial responsibility includes purchasing

  • Manage projects with several variables - set realistic deadlines manage a timeline and ensure accountability

  • May participate in complex negotiations

  • Provide input through project teams for the development and implementation of new initiatives or the improvement of existing programs

  • Travel and work flexible hours as needed

  • Work environment involves only infrequent exposure to disagreeable elements and minor physical exertion and/or strain

  • Work within scope of programs strategic goals

What Youll Bring:

MINIMUM QUALIFICATIONS

  • Bachelors degree and 3 years related experience or equivalent combination

  • Experience generating reports and analyzing and interpreting the data

  • Experience managing and implementing multiple projects

  • Experience with business process analysis and/or improvement

  • Experience with current technology in relevant field

  • Experience working with cross-functional teams

  • A valid drivers license is required for this position.

DESIRED QUALIFICATIONS

  • Multi-lingual skills and multi-cultural or cross-cultural experiences are appreciated

  • Ability to implement complex processes

  • Ability to use existing technology to achieve desired results

  • Demonstrated experience using diplomacy and tact to build strong relationships and motivate staff

  • Experience coordinating projects

  • Experience interpreting guidelines to achieve desired results;

  • Knowledge of current trends in the specific field

  • Strong organization skills accuracy attention to detail and ability to manage multiple tasks

  • Successful experience implementing strategic program goals

This position requires the individual to work in our Santa Fe office 4-5 days per week.

This position requires a valid drivers license and compliance with TNCs Auto Safety Program. Employees may not drive Conservancy-owned/leased vehicles rental cars or personal vehicles on behalf of the Conservancy if considered high risk drivers. Salary Information:

The starting pay range for a candidate selected for this position is generally within the range of $. This range only applies to candidates whose country of employment is the USA. Where a successful candidates actual pay will fall within this range will be based on a variety of factors including for example the candidates location qualifications specific skills and experience. Please note countries outside the USA would have a different pay range in the local currency based on the local labor market and not tied to USA pay or ranges. Your geographic location will be confirmed during the recruitment.
