Operations Assistant (Remote)
Job Summary
This is a remote position.
We are seeking a highly organized and proactive Operations Assistant to support our this role you will be responsible for a variety of administrative and operational tasks serving as a key point of contact for staff clients and vendors. The ideal candidate is a detail-oriented individual who thrives in a fast-paced environment and is committed to ensuring operational excellence.
Administrative & Clerical Support
Provide comprehensive administrative support to management including calendar management meeting coordination and correspondence.
Answer and direct phone calls emails and in-person inquiries professionally.
Handle data entry maintain databases and spreadsheets and prepare documents reports and correspondence.
Manage incoming and outgoing mail packages and deliveries.
Operational Coordination
Support daily operational activities including scheduling resource coordination and project assistance.
Assist with procurement tasks such as researching vendors processing purchase orders and tracking invoices.
Help coordinate office logistics including workspace setup conference room preparation and facilities maintenance.
May serve as a liaison between internal teams and external partners such as vendors or building management.
Customer Service & Front Desk
Serve as the initial point of contact for visitors clients and other constituents providing a welcoming and professional experience.
Provide excellent customer service by addressing inquiries and resolving issues promptly.
Financial & Record-Keeping
Assist with basic financial tasks like processing receipts invoices and expense reports.
Maintain and update operational records policies and procedure documents.
Education: A high school diploma is often required while an associates or bachelors degree is preferred for many roles.
Experience: Prior experience in an administrative clerical or operational support role is highly valued.
Skills:
Computer Proficiency: Strong working knowledge of Microsoft Office Suite (Word Excel Outlook) is essential.
Organization & Time Management: Excellent ability to manage multiple priorities and meet deadlines.
Communication: Strong written and verbal communication skills with a professional demeanor.
Problem-Solving: Proactive and solutions-oriented approach to handling challenges.
