The Operations Assistant at Compass Realty Inc will play a vital role in supporting the daily operations of the company. This individual will be responsible for coordinating workflows managing documentation supporting vendor and property management processes and assisting leadership with administrative and logistical tasks. The ideal candidate will be organized resourceful and adept at managing multiple priorities.
Key Responsibilities:
Support daily operational tasks across such as sales property management marketing and finance
Coordinate schedules meetings and calendars for operations leadership
Assist with onboarding new agents staff or vendors by handling paperwork systems access and orientation materials
Maintain and organize company files contracts vendor agreements and property records
Track and follow up on outstanding tasks deadlines and action items across teams
Assist with vendor management including obtaining quotes scheduling services and processing invoices
Help coordinate property inspections maintenance requests and service appointments
Prepare reports spreadsheets and summaries for management review
Monitor office supplies equipment and facilities needs and place orders as necessary
Support compliance efforts by organizing licensing insurance and regulatory documentation
Assist with process improvement initiatives and documenting standard operating procedures (SOPs)
Coordinate company events team meetings and training sessions
Provide backup administrative support to other departments as needed
Qualifications:
High school diploma required; associates or bachelors degree preferred
12 years of experience in operations administrative support or office management (real estate experience a plus)
Strong organizational and multitasking skills
Proficiency in Microsoft Office (Excel Word Outlook) and Google Workspace
Familiarity with CRM property management or MLS software preferred
Excellent written and verbal communication skills
Ability to work independently prioritize tasks and problem-solve
