Operations Assistant / Office Administrator

Employment Type: Fulltime

Salary Range: $22.00$25.00 per hour


About the Role

This position supports the daily operations of a trucking and railroad logistics team. The focus is on ensuring smooth administrative processes maintaining compliance documentation and facilitating effective communication among staff drivers vendors and customers.


Job Responsibilities
  • Provide administrative support to the operations team: manage schedules coordinate meetings and handle correspondence.
  • Maintain organized physical and electronic filing systems for shipping documents compliance records and employee files.
  • Assist in preparing and processing transportation paperwork such as waybills manifests and bills of lading.
  • Monitor officesupply inventory and place orders to ensure uninterrupted operations.
  • Serve as the primary contact for internal staff and external partners (drivers vendors customers) for routine inquiries.
  • Support HR functions: onboarding employee records and tracking training certifications.
  • Coordinate freight pickups and deliveries ensuring accurate information flow between dispatch drivers and clients.
  • Assist with basic financial tasks: invoice entry expense tracking and weekly operational reports.
  • Maintain compliance with safety and regulatory requirements by keeping documentation current and facilitating audits.
  • Perform other adhoc duties to support overall operational efficiency.

Essential Qualifications
  • High school diploma or GED required; associate degree or higher in Business Administration Logistics or a related field preferred.
  • Proficient with Microsoft Office (Word Excel Outlook) and office management software.
  • Strong written and verbal communication skills.
  • Excellent organization with keen attention to detail.
  • Ability to multitask prioritize and meet deadlines in a fastpaced environment.
  • Basic understanding of transportation terminology and logistics processes (advantageous).
  • Professional demeanor and ability to interact courteously with diverse stakeholders.

Desired Experience
  • 13 years of administrative or clerical experience preferably in transportation logistics or manufacturing.
  • Familiarity with shipping documentation compliance forms and basic inventory control.
  • Experience supporting drivers or field personnel is a plus.
