Job Summary

Office Services Coordinator

An office can lose an afternoon because a room is unavailable an order was never followed up or nobody knows whether a service visit has been arranged. This role gives those everyday operating details a clear owner. As Office Operations Coordinator you keep requests visible and help people find a practical next step.

Pay: $28.50-$32.50 per hour

Schedule and setting: Full-time in person

Requests resources and follow-through

You will receive requests about supplies rooms equipment and other routine workplace needs. Some can be resolved by checking a schedule or ordering an approved item. Others require you to collect the facts contact an approved provider or bring a decision to the manager. You will maintain a record of who is waiting what has been arranged and what is still outstanding.

If a meeting room is double-booked for example you would confirm the bookings identify the affected employees and coordinate an available alternative. You would not invent a new room policy. When a supply delivery is incomplete you would check the order and follow the employers process for resolving the discrepancy. These practical actions are the substance of the job.

The coordination is easiest when employees know where to direct an issue. You may keep a short record of the office contact for a broken device a room concern or a supply request and guide colleagues to the approved route. If a service provider proposes a different solution than expected summarize it for the manager rather than approving a new expense yourself. After the decision communicate the confirmed plan to those affected. This combination of gathering facts seeking approval and closing the loop is what keeps minor disruptions from becoming recurring ones.

Keep the outcome visible after the immediate disruption is resolved.

Regular work may involve
  • Monitoring commonly used office supplies and preparing approved requests.
  • Coordinating a routine service visit for office equipment.
  • Tracking deliveries and noting missing or incorrect items.
  • Maintaining shared room or resource bookings.
  • Keeping vendor contact information current.
  • Sending staff a concise update about an open issue.
  • Helping new team members locate workplace resources.
  • Recording recurring problems for management review.

The coordinator will sometimes notice a repeated issue rather than a single failed request. Perhaps a supply runs out before each delivery or a meeting space has the same equipment problem every week. Record what happened and when then bring the pattern to the manager with a practical suggestion. You can gather information from staff and approved vendors but the choice to change a budget or process stays with management. A useful coordinator does not just close tickets; they make it easier to see which everyday problems deserve a more lasting solution.

Decisions that need a handoff
  • An expense or change beyond your assigned purchasing authority.
  • A repair that needs a managers approval.
  • A vendor proposal that changes a contract or service level.
  • A workplace concern that requires a safety or personnel decision.

This role coordinates work rather than supervising employees. You should be comfortable asking clear questions managing several small deadlines and giving colleagues realistic updates. Experience with office administration purchasing support hospitality operations or inventory is useful. An applicant moving into office coordination from another service setting may also fit. The employer will teach its suppliers and internal process but reliable recordkeeping and sound judgment are essential.

The result should be visible in the workplace: supplies arrive when needed a room has a workable booking and an unresolved issue has a known owner. You will collaborate with reception and other administrative colleagues rather than take over their separate responsibilities. A successful coordinator makes the office easier to use without drawing attention to every small intervention.
