Job Summary

The Office Manager is responsible for overseeing the daily administrative and operational functions of BlueX home office ensuring efficient office operations and exceptional customer service for students families and staff. This position manages office operations supports enrollment and records management coordinates communications special projects maintains compliance with state and organizational requirements and serves as a key liaison between leadership staff parents and external partners. This role is ideal for an experienced operations professional who enjoys creating efficient systems supporting school leadership and ensuring a high-quality experience for students families and staff while helping BlueX achieve its educational mission.

Responsibilities and Duties:

  • Manage the day-to-day operations of the school office.
  • Develop and maintain efficient office systems and procedures.
  • Order and maintain office supplies equipment and inventory.
  • Coordinate incoming and outgoing mail deliveries and communications.
  • Support state reporting audits and compliance requirements.
  • Assist with purchasing invoices expense tracking and budget monitoring.
  • Process purchase requests and maintain financial documentation.
  • Coordinate vendor relationships and service contracts.
  • Collaborate with academic and operational departments to support school goals.
  • Participate in leadership meetings and continuous improvement initiatives.
  • Assist families with enrollment registration withdrawals and student records requests.
  • Provide assistance with the graduation process.
  • Support campus leadership with daily operational needs and special projects.
  • Process work orders for facility related issues.
  • Support campus ordering of materials and supplies for staff and students.
  • Assist with onboarding of new employees and operational training.
  • Monitor operational workflows to improve efficiency and customer service.
  • Create presentations via Canva and Google Slide.
  • All other duties as assigned.
