Location: Graniteville VT

Employment type: Hourly full-time

Schedule: Monday-Friday 7:00 a.m.-4:00 p.m. with a one-hour unpaid lunch

Compensation: $20.00-$28.00 per hour depending on experience

Rock of Ages a division of the Polycor Group is seeking a full-time Office Coordinator to join our team in Graniteville VT. The Office Coordinator is a key cross-functional support position responsible for helping maintain the efficient day-to-day operation of the office while providing administrative and operational support across the organization.

The role serves as a central resource for employees customers and outside service providers with responsibility for office coordination shipping and logistics reception filing and recordkeeping proofreading and quality review and order and production-related administrative activities.

Because this position supports multiple departments throughout the workday consistent on-site coverage during established working hours is an essential function of the role. The 7:00 a.m.-4:00 p.m. schedule aligns with the primary operating hours of Production Drafting and other key departments and ensures support is available during peak business activity.

Key roles and responsibilities:
  • Coordinate day-to-day office administration including primary telephone reception filing and recordkeeping office equipment supplies breakroom needs and general office organization.
  • Coordinate outgoing UPS USPS and LTL shipments including packaging postage customer samples documentation tracking and shipping supplies.
  • Support the flow of customer orders through Drafting and Production by maintaining and updating order information coordinating order and redraw assignments processing approved drawings and maintaining accurate system records.
  • Assign applicable costs and invoices to orders and make required intercompany value adjustments.
  • Coordinate information and administrative activities between Sales Drafting Production and other departments to help ensure customer and business needs are handled accurately and efficiently.
  • Provide administrative and operational support across departments as needed to maintain efficient day-to-day business operations.
  • Coordinate outside vendors and service providers supporting the office and grounds including cleaning seasonal maintenance landscaping and other facility-related services.
  • Provide proofreading and quality review support across the organization to help ensure business communications contracts memos marketing materials and other written content are accurate clear and professional.
  • Assist with special projects and other related duties as assigned.

  • Excellent attention to detail proofreading skills and command of written communication.
  • Professional verbal communication customer-service skills and telephone presence.
  • Ability to work effectively with customers vendors and employees across multiple departments.
  • Comfort learning and working within business order-processing shipping and production systems.
  • Ability to work independently take ownership of responsibilities and demonstrate consistent follow-through.
  • Dependable and able to provide consistent on-site support during established working hours.

Through cross-training and demonstrated performance the individual may develop skills that support future opportunities in areas such as Order Entry Production Coordination Inside Sales or other operational and customer-facing roles based on business needs demonstrated capabilities and individual strengths.

Technical Skills:
  • Proficiency in Microsoft Office (Excel Word Outlook Teams PowerPoint).
  • Comfortable using standard office equipment.

Requirements and capabilities:
  • High school diploma required (some college education is a plus)
  • 23 years of experience in a similar administrative role.
