Job Summary
CTIS is seeking a highly proactive dependable organized and resourceful Office Assistant to provide direct day-to-day support across Virginia and Maryland.
This is a hands-on role focused on helping the CEOs day operate efficiently through transportation errands organization appointments pickups and deliveries vehicle coordination supplies routine arrangements and other day-to-day support needs.
The successful candidate should be comfortable working to support CEOs VA & MD Office managing changing priorities and anticipating routine needs. The ideal candidate is flexible and adaptable with the ability to adjust to changing schedules and priorities based on the CEOs business and day-to-day needs
Responsibilities
- Drive the CEO between Virginia and Maryland corporate offices client meetingsbusiness meetings personal appointments events and other destinations.
- Maintain the CEOs vehicle including vehicle maintenance and services
- Provide direct day-to-day support and assist with a variety of logistical and operational needs.
- Handle errands pickups deliveries returns purchases and other requested tasks.
- Coordinate with appointments reservations event preparation attendance of events as needed and related logistics.
- Schedule and facilitate conference calls and virtual meetings and take notes when requested.
- Maintain an organized office workspace materials documents and supplies.
- Assist with routine administrative tasks including printing scanning filing mailing and document organization.
- Coordinate with medical records and other outside contacts as needed.
- Monitor assigned tasks and follow through to ensure responsibilities are completed on time.
- Anticipate routine needs and take appropriate action without requiring repeated direction.
- Respond professionally and efficiently to changing priorities and time-sensitive requests.
- Maintain confidentiality and discretion in all matters involving the CEO and the company.
- Perform other related support responsibilities as needed.
Qualifications
- Minimum of 23 years of relevant experience in an assistant executive support administrative support office support or similar role.
- Valid drivers license and ability to safely perform the driving responsibilities of the position.
- Strong organizational and time-management skills.
- Ability to manage multiple priorities and work independently.
- Strong attention to detail and follow-through.
- Resourceful and capable of resolving routine issues independently.
- Professional verbal and written communication skills.
- Comfortable using email calendars Microsoft Office messaging applications navigation applications and other common technology.
- Ability to maintain confidentiality and exercise sound judgment.
Location & Availability
This position requires regular in-person support across CTIS locations and other required destinations in Virginia and Maryland. Local is preferred.
Regular driving is an essential part of the position. The successful candidate should be comfortable with a schedule that may occasionally change based on the CEOs business and scheduling needs.
