Position Summary:

The Medical Assistant is responsible for supporting both front office and back office operations to ensure efficient clinic workflows and exceptional patient care. This role serves as a key point of contact for patients manages administrative and clinical support functions maintains accurate records supports quality initiatives and assists with medical office compliance and inventory management.


A Day in the Life:

  • Serve as the primary point of contact for patients by answering phones responding to messages scheduling appointments and providing exceptional customer service.
  • Manage patient registration check-in and check-out processes including updating demographic and insurance information collecting copayments obtaining required forms and maintaining accurate patient records.
  • Coordinate referrals laboratory requisitions insurance verification claims processing payment posting and patient billing activities.
  • Maintain electronic health records by scanning filing and entering clinical and quality-related data including lab results diagnostic screenings specialist reports and payer-required quality measures.
  • Prepare for patient visits by reviewing charts care gaps hospital and emergency room reports preventative care requirements and quality program measures.
  • Support clinical operations by rooming patients documenting vital signs and chief complaints performing EKGs and screening tests administering injections and maintaining accurate clinical documentation.
  • Provide patient education related to chronic disease management medications specialty injection therapies advance directives POLST forms and other healthcare services.
  • Coordinate specialty medication programs including prior authorizations required testing scheduling administration follow-up and ongoing patient communication.
  • Assist with medical records management including records requests audits payer reviews retention activities and regulatory compliance.
  • Maintain a clean safe and organized office environment by disinfecting clinical and administrative areas and ensuring adherence to infection control standards.
  • Monitor inventory levels and coordinate ordering of office supplies medical equipment vaccines laboratory materials and housekeeping supplies.
  • Support practice quality initiatives value-based care programs and performance measures to improve patient outcomes and organizational goals.
  • Collaborate effectively with providers staff patients insurance carriers and external healthcare organizations to ensure efficient clinic operations and continuity of care.

  • You have facilitated multiple components of care to include but not limited to scheduling gaps in care closure and ensuring all collected data is entered into the care management module accurately
  • You have a personal commitment to a person-centered approach along with strong relationship-building communication and active listening skills required
  • You serve as a patient advocate on a daily basis and it shows in the quality of your work and interaction with others
Requirements

We are excited about you if you have these things:

  • Must have graduated from an accredited program like Commission on Accreditation of Allied Health Education Programs (CAAHEP) Committee on Allied Health Education and Education (CAHEA) or Accrediting Bureau of Health Education Schools (ABHES) National Healthcareer Association (NHA)
  • Certified Medical Assistant (CMA) in New Jersey Required OR Nationally Registered Certified Medical Assistant (NCMA) Preferred
  • MA Certification must be in good standing with the ability to get licensed in other states
  • 1 year of customer service or call center experience/centralized patient scheduling center experience required
  • Excellent customer service skills
  • Knowledge of population health is a plus
  • Physician practice experience preferred and medical terminology experience required
  • Understanding of HIPAA and the ability to protect patient information
