Job Summary
The Logistics Coordinator in Warehousing & Distribution serves as the primary point of contact for assigned customer accounts ensuring accurate order processing inventory management billing and customer communications. This role works closely with warehouse operations transportation providers vendors and customers to ensure service excellence and operational efficiency.
Key Responsibilities
Order Management & Operations
- Process and enter customer orders accurately and timely.
- Generate all required documentation and information for customer work orders.
- Review orders for special handling requirements and customer-specific requests.
- Perform data entry related to receiving put aways inventory movements order allocation shipping and cycle counts.
- Maintain accurate inventory records and process inventory transactions within the warehouse management system.
- Coordinate urgent and last-minute shipping requests with Transportation and Operations teams.
- Trace and monitor shipments proactively communicating status updates and exceptions to customers.
- Receive inventory and ensure inventory records remain accurate and up to date.
Customer Service
- Serve as the primary contact for assigned customer accounts.
- Provide accurate and timely operational reports to customers.
- Run inventory and stock availability reports as needed.
- Respond promptly and professionally to customer inquiries regarding orders shipments inventory levels invoices and service issues.
- Communicate customer concerns and feedback to management including potential service issues or dissatisfaction.
- Assist team members in supporting distribution accounts and customer requirements.
- Ensure customer requests are completed accurately and within service expectations.
Billing & Financial Accuracy
- Prepare and process customer invoicing through company systems.
- Conduct customer billing activities including supporting documentation and backup records.
- Verify the accuracy of computer-generated invoices.
- Ensure timely and accurate billing of customers and vendors.
- Rate and audit domestic transportation invoices.
- Process credits and adjustments for returned merchandise when applicable.
Warehouse & Cross-Functional Coordination
- Provide warehouse personnel with all documentation and information required to complete receiving and shipping activities.
- Act as a liaison between warehouse operations and customers regarding account administration shipment status and inventory inquiries.
- Partner with office and finance teams regarding invoicing credits and billing-related matters.
- Maintain positive working relationships with customers vendors carriers and internal stakeholders.
Inventory & Quality Control
- Maintain damage records inventory discrepancy reports and backorder logs.
- Monitor inventory activity and report issues as necessary.
- Ensure proper documentation and tracking of returned merchandise.
- Support inventory accuracy through timely transaction processing and record maintenance.
Administrative & Clerical Support
- Maintain account files and all documentation associated with customer orders.
- Maintain current account procedures and process documentation.
- Answer phone calls and respond to customer correspondence professionally.
- Support miscellaneous projects reporting research and filing activities as assigned.
- Operate office equipment and systems necessary to perform job responsibilities.
Compliance & Problem Resolution
- Adhere to all company policies Operational Process Standards (OPS) customer requirements and applicable government regulations.
- Identify and escalate operational issues service concerns or compliance risks to management as appropriate.
- Support continuous improvement initiatives and best practices within the operation.
Qualifications :
- Strong customer service and communication skills.
- Excellent attention to detail and organizational abilities.
- Ability to manage multiple priorities in a fast-paced environment.
- Proficiency with warehouse management systems data entry and Microsoft Office applications.
- Experience in distribution logistics transportation or supply chain operations preferred.
- Ability to work effectively across departments and with external customers and vendors.

Additional Information :
The pay range for this position is between $18.00 and $20.00 per hour.
