This is an HR Administrative/Coordinator contractor role at a union manufacturing facility in Horseheads NY. The role is driven by rapid plant growth with the HR Manager currently operating as sole HR support. Provide day-to-day administrative and operational HR support to the plant assisting with high-volume transactional and employee-facing activities. This role helps ensure timely and accurate execution of HR processes supports employee inquiries and enables the HR Manager to focus on more complex employee relations and strategic priorities. This role provides critical administrative coverage so that core HR processes (timekeeping hiring onboarding employee support) continue to run smoothly. It allows leadership and the HR Manager to focus on higher-risk areas such as employee relations investigations and labor considerations which are especially important in a manufacturing and union environment.
- Provide front-line HR support by responding to employee questions regarding policies procedures benefits and general HR inquiries
- Maintain and update employee records in HR systems ensuring accuracy and confidentiality
- Assist with onboarding and offboarding processes including new hire paperwork orientations and system entries
- Support recruitment activities by scheduling interviews coordinating candidate communications and maintaining applicant tracking systems
- Coordinate and track leave of absences attendance and timekeeping processes (Kronos or similar systems)
- Assist with payroll support activities including data entry audits and resolving basic discrepancies
- Prepare HR documents such as employment letters job changes disciplinary documentation and reports
- Support compliance activities by maintaining personnel files and ensuring documentation is complete and up to date
- Assist in coordinating employee engagement activities site communications and events
- Partner with supervisors to gather information route HR requests and ensure timely follow-up
- Provide administrative support for employee relations activities (documentation scheduling meetings tracking cases)
- Manage general HR administrative tasks including filing data tracking reporting and calendar coordination
- Note-taking and administrative support for union-management communications
- Triage employee inquiries; serve as first point of contact for HR needs
- Digitization project: migrate hard-copy files to SharePoint; support Teams/Microsoft platform transition
- Standardize onboarding checklists and manager resources
- Employee engagement coordination (e.g. catering events)
Scope / Level of Responsibility
- Focused on execution and administrative support not decision-making
- Works under direction of HR Manager on priority items
- Supports both union and non-union populations in a manufacturing environment
- Handles sensitive information with a high level of confidentiality
- Operates in a fast-paced plant environment with shifting priorities
- Candidate must not participate in hiring decisions or interviews administrative/planning support only
- Basic understanding of HR processes (onboarding timekeeping payroll support etc.)
- Strong organizational skills with ability to manage multiple tasks and deadlines
- Proficiency in Microsoft Office (Excel Word Outlook) Teams and SharePoint
- Computer-savvy for quick ramp-up on Kronos and MS Access
- Strong attention to detail and ability to maintain confidentiality
- Effective communication skills and customer-service mindset
- Highly organized and detail-oriented
- Comfortable in a fast-paced firefighting environment
- Approachable and responsive to employee needs
- Able to balance administrative work with employee-facing support
- Takes initiative while knowing when to escalate issues
- Confidentiality is critical given the HR context; HR-specific background strongly preferred for this reason
- Experience with HRIS systems (Workday Oracle or similar)
- Union experience (strong preference not a hard requirement)
- Manufacturing background (preferred due to fast-paced environment not mandatory)
- Associates or Bachelors degree in Human Resources Business or related field preferred; extensive HR-specific experience may substitute
- 13 years of administrative or HR support experience (manufacturing environment a plus)
- Candidates with 20 years of experience are welcome
