Job Duties:

The UWM Registrars Office provides effective and reliable service in support of the Universitys academic mission. We facilitate and support student admission enrollment retention and graduation in various ways and provide information and services to UWM faculty and staff. The office is comprised of five service areas: academic administrative records student and transfer.

Key Job Responsibilities:
  • May assist in the development and monitoring of the unit or program budget and approve unit expenditures
  • Plans implements executes and evaluates existing strategies and objectives for a program and makes recommendations to unit leadership for program or function enhancement
  • Leads the development and preparation of periodic reports and financial statements and records progress status or other special reports for leadership or external agencies
  • Schedules logistics and secures resources for program activities across multiple work units to ensure optimum efficiency and compliance with appropriate policies procedures and specifications
  • May exercise supervisory authority including hiring transferring suspending promoting managing conduct and performance discharging assigning rewarding disciplining and/or approving hours worked of at least 2.0 FTE or equivalent employees
  • Contributes to the preparation of proposals for funding and/or funding continuation from outside sponsors
  • Identifies workflow needs contributes to the development of strategic and operational solutions allocates resources and implements new or revised unit operational policies and procedures

Job Summary:

Under the direction of the Senior Associate Registrar the Flex Administrative Manager plays a key role in supporting the operational processes and records management for the Flexible Option program. This operational positionmaintainsstudent records for all UW-Milwaukee Flexible Option students including but not limited to posting and auditing transfer credits processing term changes clearing students for graduationand posting degrees. The Administrative Manager collaborates withtheUniversities of Wisconsin Office of Online & Professional Learning Resources(OPLR)Success Coaches Admissions and Registrars office staff for processing of records updates problem solving and providing communication and training. They also communicate with Flex Academic Directors toassistwith curricular questions and student position requires exceptional customer service skills effective communication skills attention to detail and the abilitytowork independently andcollaborate with others ina mostlyremote environment.

Responsibilities:

Maintainsstudent records for Flex option students.

  • Processes applications for admitted students matriculates and reactivates students as needed.
  • Coordinates the review entry and evaluation of Flex transfer credit.
  • Runs daily/weekly/monthly audits of data and records corrections and makesappropriate changes.
  • Troubleshoots and resolves student records issues related to grading errors academic standing enrollment or other issues.
  • Processes regular records updates including term changes and grade changes.
  • Manages important administrative functions related to student degree audits graduation and records including clearing students for graduation and posting degrees.

Collaborates with Success Coaches Admissions and Registrars Office stafffrom Universities of Wisconsin Office of Online & Professional Learning Resources (OPLR) in support of Flex students.

  • Managesemailscorrespondencewith OPLR team responding to emails or forwarding as needed.
  • Providessupport and training for OPLRregardingPAWS andStellicfunctionality.
  • Communicateswith and providestraining toOPLRstaff as new policies or systemsare implemented

Communicateswith Flex Academic Directors toassistwith curricular questions and student service.

  • Sendsoutmonthly communication to all Flex instructorsregardinggrading deadlines.
  • Participate in regular meetings with Flex academic directors and OPLRstaff to keep abreast ofneedsof Flex students staff and administrators.
  • Communicatesdirectly with Flex Academic Directors to resolve student records issues.

  • Providesadditionalgeneral student and technological support for Flex option programs.
  • Managesandupdatesthe FlexSchedule of Classes.
  • Collaborateswith Enrollment Management Systems Director to update and approve theFlex production calendar.
  • Assistswith rebuilding business processes and customizations forFlexwhennecessarydue to software upgrades and policy changes.
  • Processesall enrollment/degree verification letters for UWM Flex students.

Minimum Qualifications
  • Bachelors degree orcommensuratecombination of training and experience
  • At least5years of experienceworkingin an administrative roleat acollege or university
  • Demonstrated administrative experience with PeopleSoft or another similar integrated data management system.
  • Demonstrated ability towork independently make decisions autonomouslywhen needed andprovide strategic leadership while collaborating with others.
Preferred Qualifications
  • Experience working in aCollegeor UniversityRegistrars office highly preferred.
  • Demonstrated experiencemaintainingstudent records.
  • Demonstrated experiencewith evaluation and posting oftransfer credits.
  • Experience as a high-level functional user of a student information system and related technologies.
  • Demonstratedsuccessfulexperience working with academic units including faculty and administrators.
  • Demonstrated experience creating process documentationor training materials.


Target Salary Range

$57000-$60000
(Final salary offer will bedeterminedbased on qualifications and experience)
