Facilities Systems & Assets Coordinator

Responsible for keeping critical campus building systems compliant inspected and documented. Reporting to the Director of Facilities the Facilities Systems & Assets Manager owns compliance tracking uses Google Workspace a CMMS and works closely with the Maintenance Operations and Groundskeeping Managers in a collaborative team-oriented environment supported by strong onboarding and mentorship.

This is a part-time role. Duties are scoped to fit 20 hours per week and are listed in priority order.

Essential Duties and Responsibilities:

Building Systems Coordination

1. Coordinate testing inspections maintenance and repairs for the following campus systems:
2. Fire and life safety systems (including annual evacuation drill oversight)
3. Elevators
4. Generators and inverters
5. Schedule vendors track service completion and ensure compliance requirements are met.

Compliance & Regulatory Support

1. Partner with Facilities leadership to track safety records and compliance documentation for:
2. NFPA 70B electrical maintenance program
3. Lockout/Tagout (LOTO) program
4. Code of Safe Work Practices
5. Permits and licensing (elevators backflow devices radio licensing)
6. AED readiness checks and parts ordering
7. CERS (California Environmental Reporting System) in partnership with the Operations Manager
8. EPA hazardous waste reporting
9. CA SB 1383 compliance oversight in partnership with the Operations Manager

Building Management Systems (BMS)

1. In partnership with the Assistant Maintenance Manager monitor building control systems and escalate programming changes to the vendor.

CMMS Administration

1. Administer and maintain accurate information in the Computerized Maintenance Management System (CMMS).
2. Build and maintain the asset registry templates and preventive maintenance schedules.

Documentation & Recordkeeping

1. Maintain accurate updated building plans drawings and asset documents.
2. Keep all compliance asset and building records on the departments shared drive in a clear consistent folder structure so any team member can find what they need without assistance. Records are not to be kept on personal desktops or individual folders.
3. Ensure departmental records remain organized and up to date including retiring or archiving superseded versions.

Utility & Energy Tracking

1. Prepare a single quarterly utility usage report for Facilities leadership.

• High school diploma OR General Education Degree (GED) equivalent
• Knowledgeable with Microsoft Office Suite (Excel Word PowerPoint) and Google Workspace.
• Highly organized with strong attention to detail and follow-through.
• Clear and professional written and verbal communication skills.
• Self-motivated with a willingness to learn and take ownership.
• Ability to lift up to 50 lbs. and work in varied environments.
• Understand the importance of workplace safety and always work and operate equipment and tools in a safe manner.
• Valid California drivers license and satisfactory driving record required and must be maintained.
• Must be willing to consent to a background check.

Preferred Qualifications (Not Required)

• Coursework or experience in facilities construction engineering HVAC or electrical systems.
• Experience with CMMS or work order systems.
• Familiarity with building systems (HVAC fire/life safety BMS).
• Interest in sustainability or energy management.
