The Multi-Site Facilities Coordinator is responsible for directing janitorial and sanitation operations across multiple facilities. This position develops efficient cleaning and sanitation programs ensures consistent service quality manages equipment and supplies and oversees site-level human resources functions.
The manager works closely with customers facility leadership and employees to maintain clean safe compliant and productive facilities while meeting established labor quality safety and financial objectives.
Essential Duties and Responsibilities
Multi-Site Operations
Oversee daily janitorial and sanitation services across multiple facilities.
Establish standardized operating procedures and service expectations for each location.
Conduct routine site inspections and audits to verify cleanliness safety staffing and contract compliance.
Coordinate staffing equipment and resources between facilities based on operational needs.
Maintain strong relationships with customers and facility stakeholders.
Respond promptly to customer concerns emergencies service requests and changing production schedules.
Provide regular operational updates and performance reports to leadership.
Sanitation Program Development
Design and implement efficient sanitation programs based on facility requirements risk levels and industry best practices.
Develop cleaning schedules task frequencies routes staffing plans and standard work instructions.
Evaluate cleaning methods and identify opportunities to improve quality productivity and labor efficiency.
Ensure proper chemical selection dilution labeling storage and use.
Establish inspection processes and measurable sanitation standards.
Implement corrective and preventive actions when sanitation requirements are not achieved.
Support specialized services such as floor care carpet cleaning high cleaning disinfection production-area cleaning and emergency cleanup.
Ensure sanitation documentation is accurate current and available for audits.
Equipment and Supply Management
Oversee the selection use maintenance and replacement of janitorial equipment.
Maintain an accurate inventory of equipment chemicals consumables and supplies at each facility.
Develop preventive-maintenance schedules for floor machines vacuums extractors scrubbers sweepers and other equipment.
Human Resources and Employee Leadership
Lead coach and develop site supervisors and frontline employees.
Participate in recruiting interviewing hiring onboarding and employee orientation.
Create staffing plans and ensure adequate coverage for all shifts and facilities.
Review and approve employee schedules timekeeping attendance overtime and payroll information.
Provide ongoing training in cleaning procedures equipment operation chemical safety customer service and workplace expectations.
Support employee engagement recognition retention and succession planning.
Safety and Regulatory Compliance
Promote a proactive safety culture throughout all assigned facilities.
Ensure compliance with OSHA requirements company safety programs customer policies and environmental regulations.
Conduct safety inspections job-hazard analyses toolbox talks and employee training.
Ensure employees use required personal protective equipment.
Investigate injuries near misses property damage and equipment incidents.
Complete required incident reports and implement corrective actions.
Monitor compliance with bloodborne-pathogen hazard-communication lockout/tagout fall-protection and other applicable programs.
Maintain required training inspection and safety documentation.
Financial and Performance Management
Manage labor hours overtime supplies equipment expenses and other operating costs.
Prepare and monitor site budgets and operating forecasts.
Analyze productivity quality staffing and financial performance.
Identify opportunities to improve efficiency while maintaining safety and service standards.
Review invoices purchase orders inventory reports and vendor performance.
Track key performance indicators and communicate results to employees customers and leadership.
Minimum Qualifications
Minimum of three to five years of janitorial sanitation environmental services or facilities-management experience.
Previous experience managing multiple facilities shifts or large teams strongly preferred.
Experience supervising employees and handling staffing performance attendance and disciplinary matters.
Working knowledge of janitorial chemicals floor-care systems cleaning equipment and sanitation procedures.
Familiarity with OSHA requirements and workplace safety programs.
Ability to manage budgets labor hours inventory and operating expenses.
Proficiency with Microsoft Office and electronic scheduling payroll inspection or work-order systems.
Experience in industrial manufacturing healthcare education or other regulated environments.
Experience working in a union environment or administering collective bargaining agreements.
Experience developing standardized work instructions cleaning routes and productivity models.
