We are seeking a highly competent and proactive Remote Executive Support Specialist to provide comprehensive administrative support to senior this role you will manage executive calendars coordinate meetings and travel arrangements prepare and review business documents and handle confidential company information with the highest level of discretion and professionalism. You will serve as a trusted administrative partner ensuring executives remain organized informed and focused on strategic priorities.
The ideal candidate is detail-oriented possesses excellent organizational and communication skills and thrives in a fully remote work environment. The ability to anticipate executive needs manage multiple priorities and maintain strict confidentiality is essential. Comprehensive training and ongoing support are provided to be successful in this role.
Responsibilities
* Provide high-level administrative support to the executive team managing calendars scheduling meetings and coordinating complex travel arrangements.
* Prepare and edit correspondence reports presentations and other documents with a high degree of accuracy.
* Act as the primary point of contact for internal and external stakeholders handling enquiries with professionalism and discretion.
* Manage confidential and sensitive information with the utmost integrity.
* Organise and coordinate executive meetings company events and conferences including agenda preparation and minute-taking.
* Assist with the planning and execution of special projects as directed by the leadership team.
* Handle expense reporting invoice processing and other basic financial administration for the executive office.
* Anticipate the needs of the executive team and proactively address issues to ensure a seamless workflow.
Qualifications
* Proven experience in a senior administrative role such as an Executive Assistant Personal Assistant or Office Manager.
* Exceptional organisational planning and time-management skills with a strong ability to multitask and prioritise effectively.
* Excellent written and verbal communication skills with meticulous attention to detail.
* Full proficiency in the Microsoft Office Suite (Outlook Word Excel PowerPoint).
* Demonstrated ability to maintain confidentiality and exercise discretion.
* A proactive and resourceful problem-solver with the ability to work independently.
* Experience within a manufacturing or industrial equipment environment is desirable but not essential.
