Job Summary
- Provide administrative assistance to the Senior Vice President of Human Resources andthe Senior Vice President of Talent Acquisition & Development
- Manage Executives calendars including scheduling coordinating and arranging meetings and appointments with internal and external contacts
- Arrange physical and/or virtual conference details issue meeting requests andinvitations coordinate agendas and materials as necessary
- Maintain consistent awareness of Executives priorities and strategically arrange/plan/rearrange days accordingly
- Coordinate detailed travel including overnight and international accommodationsscheduling of events creating travel itineraries and distribution of information totravelers
- Prepare and submit monthly expense reconciliation reports for teams
- Prep first day start paperwork for new employees
- Assist with filing preparation and distribution of reports and documentation
- Maintain reports and tracking grids
- Act as a first point of contact for employees with inquiries forHuman Resources and Talent Acquisition; customer service approach
- Attend and note-take in meetings distribution as appropriate
- Other ad hoc duties as assigned
- 5 years of administrative experience; agency or management experience a plus
- Strong proficiency in MS Office & Google Suite
- Excellent written verbal and interpersonal skills with the ability to interface with staffother administrators and internal and external senior management
- Organized and detail-oriented with the ability to manage multiple high priorities meetdeadlines for tasks and assignments proactively anticipate needs and manage timeefficiently
- Excellent problem-solving skills attention to detail and follow-through
- Resourceful proactive reliable and assertive when necessary
- High level of integrity and discretion with confidential information and sensitive issuesand information
- Familiar with a variety of entertainment industry concepts practices and procedures aplus
- Knowledge of creative production post-production processes and related workflows aplus
The compensation range for this non-exempt position in Los Angeles CA is $ annually. The rate offered may vary based on the candidates location qualifications experience and relevant expertise among other factors. The range indicated is for base salary only and does not reflect the total compensation package including bonus benefits etc.
