Position Summary
Reporting to the Chief Financial Officer the Executive Assistantwill provide high-level administrative and operational support to a team of senior executives. As a trusted partner this role proactively manages priorities anticipates needs and enables leadership effectiveness through exceptional organization discretion and judgment. Responsibilities include managing complex calendars and communications coordinating meetings and leadership activities arranging travel and expenses supporting governance processes and driving follow-through on key business priorities. This position operates in a fast-paced scientifically focused environment and requires executive presence adaptability and the ability to manage competing priorities with minimal direction.
Essential Job Functions and Responsibilities
- Provide high-level administrative operational and strategic support to a portfolio of senior executives managing competing priorities with exceptional accuracy discretion and efficiency
- Serve as a trusted partner to executive leadership helping manage strategic priorities anticipate needs and ensure focus remains aligned with critical business objectives
- Manage highly complex and dynamic calendars for multiple executives balancing internal and external commitments while proactively identifying conflicts dependencies and shifting priorities
- Coordinate executive meetings leadership forums board-related activities off-sites and team events ensuring seamless planning logistics and execution
- Drive follow-through on key action items decisions and deliverables arising from leadership meetings maintaining visibility and accountability across stakeholders
- Coordinate executive participation in conferences investor events and external engagements including scheduling logistics venue coordination and meeting management
- Prepare executive briefing materials presentations reports dashboards and other communications to support decision-making and leadership effectiveness
- Manage domestic and international travel arrangements expense reporting and related administrative activities
- Draft and coordinate executive correspondence and communications on behalf of leadership ensuring professionalism accuracy and alignment with business objectives
- Build and maintain strong cross-functional relationships to facilitate collaboration and support execution of executive priorities across the organization
- Research synthesize and summarize complex information to support leadership discussions strategic planning and decision-making.
- Handle highly sensitive and confidential information including matters related to financial performance personnel legal affairs and corporate strategy with the highest degree of professionalism and discretion
- Identify opportunities to improve executive support processes meeting effectiveness communication workflows and operational efficiency
- Support special projects strategic initiatives and ad hoc business priorities while providing occasional on-site support for leadership employee events board meetings and other company activities
- Preferred Qualifications
- Bachelors degree required with 5 years of experience as an executive assistant 3 years of experience supporting C-Level Executives preferably in the pharmaceutical or biotechnology industry or an equivalent combination of academic and industry experience.
- Demonstrated ability to operate effectively in a scientific technical or otherwise highly complex executive environment
- Proactive resourceful and adaptable with a solution-oriented approach to supporting a dynamic and demanding organization
- Ability to anticipate executive needs exercise independent judgment and operate with minimal direction
- Proven ability to handle highly sensitive and confidential information with integrity discretion and sound judgment
- Exceptional organizational skills and attention to detail with the ability to manage multiple priorities independently
- Strong executive presence with excellent verbal and written communication skills
- Excellent interpersonal skills with the ability to build trusted relationships with staff Board members and external partners
- Proficiency in Microsoft Office (Outlook Word Excel PowerPoint); experience with advanced digital tools or data analytics is a plus
- High level of professionalism commitment and flexibility including availability outside standard business hours as required
- Excellent communication and interpersonal skills with the ability to collaborate effectively with internal and external stakeholders
- Strong analytical and problem-solving abilities with a strategic mindset
- This position requires periodic/regular travel including up to 5% of work time which may include overnight travel
Physical Demands and Work Environment
Physical Demands:
- Constant or continuous use of a computer keyboard monitor and mouse to perform a variety of tasks

- May lift and/or move objects of various weights
Work Environment:
- On-site requirement (Monday through Thursday)
- Noise level in the work environment is usually moderate

Salary Range
The salary range for this position is $117000 to $135000 per year. The final pay offered to a successful candidate will be dependent on several factors that may include but are not limited to the type and years of experience within the job and the industry education and skills and certifications.
Benefits
Provided they meet all eligibility requirements under the applicable plan documents employees (and their eligible dependents) will be eligible to enroll in group healthcare plans that offer medical dental vision and basic life and AD&D insurance. Additional benefit programs include short-term and long-term disability insurance flexible spending accounts health savings accounts and voluntary insurance programs including voluntary life AD&D accident and critical illness. Employees will also be able to enroll in the Companys 401(k) addition employees will accrue 10 hours of paid vacation time every month and accrue 1 hour of paid sick leave for every 30 hours worked. Employees also enjoy 17 paid holidays each calendar year including a winter closure subject to applicable Company policies. All benefits are subject to the terms and conditions of the applicable plan documents and Company policies which may be amended from time to time.
Other Compensation
The hired candidate will be eligible to receive an annual discretionary bonus and an equity award subject to the terms of the applicable employment agreement plan documents and Company policies.
