Job Summary

We are seeking a highly organized and strategic Executive Assistant to provide senior-level administrative support to our Executive this vital role you will coordinate executive activities and navigate the complex operational and data-driven landscape of a Community Services Board (CSB). You will act as a key liaison updating leadership on critical issues reviewing administrative procedures managing regulatory metrics and coordinating the annual budget process. Additionally you will serve as the Clerk to the Board of Directors providing crucial administrative governance support to our board.

  • Governance & Board Operations: Proven experience serving as a Clerk to a Board or managing governance activities including coordinating board meetings preparing official documents and maintaining compliance records.
  • Advanced Administrative & Budget Coordination: Demonstrated expertise handling complex administrative processes tracking regulatory metrics generating data-driven reports and serving as the administrative coordinator for annual budget cycles.
  • High-Level Stakeholder Communication: Exceptional ability to provide detailed responses to complex inquiries manage critical issues proactively and facilitate communication across senior leadership the Board of Directors and community partners.

Key Responsibilities

  • Coordinate daily operations and provide comprehensive high-level administrative support to the Executive Director.

  • Serve as Clerk to the Board of Directors ensuring seamless execution of board meetings documentation and governance responsibilities.
  • Prepare file and track required regulatory reports and performance metrics.
  • Create manage and maintain sensitive organizational documents and databases.
  • Proactively review and update administrative procedures to maximize operational efficiency.
  • Arrange and manage logistics for high-profile meetings committees and special events.
