Summary
We are seeking a dedicated and organized individual to serve as an Executive Assistant within the Financial Services this vital support role you will act as a key liaison for senior leadership ensuring the smooth operation of daily administrative functions. Your ability to manage complex schedules handle sensitive information with discretion and coordinate logistical details will be essential in maintaining high operational efficiency and supporting the strategic goals of our financial team.

Responsibilities
  • Coordinate and manage complex calendars including scheduling meetings arranging conference calls and organizing travel itineraries for executives.
  • Serve as the primary point of contact for internal and external communications screening calls and emails while ensuring prompt and professional responses.
  • Prepare format and review high-quality documents presentations and reports ensuring accuracy and adherence to company standards.
  • Facilitate meeting logistics by preparing agendas taking detailed minutes and tracking action items to completion.
  • Maintain organized physical and digital filing systems ensuring all financial records and administrative documents are easily accessible and secure.
  • Assist with the planning and execution of business events conferences and team-building activities.
  • Handle confidential information with the utmost integrity adhering to strict data privacy protocols inherent to the financial industry.
Requirements
  • Proven experience as an Executive Assistant Administrative Assistant or in a similar support capacity.
  • Strong foundational knowledge of administrative procedures and office management best practices.
  • Excellent verbal and written communication skills with a professional demeanor.
  • High proficiency with office productivity software including Microsoft Office Suite and calendar management tools.
  • Ability to prioritize multiple tasks in a fast-paced environment while maintaining attention to detail.
  • Strong organizational skills with a proactive approach to problem-solving.
  • Entry-level candidates with 0-1 year of relevant experience are encouraged to apply demonstrating a strong aptitude for administrative support.
