Location: Chicago IL. This is a full-time on-site position in downtown Chicago ideal for someone who enjoys working closely with executives and colleagues in a collaborative office environment.

Note: Candidates must have 3 years of law firm Executive Assistant or closely related legal support experience. This role requires strong calendar management executive-level communication discretion organization and the ability to manage changing priorities in a fast-paced environment.

Job Description

  • Manage complex calendars for senior Partners including meetings appointments reminders events and scheduling conflicts.
  • Monitor and help prioritize executive email communications invitations and time-sensitive requests.
  • Prepare Partners for upcoming meetings and commitments by organizing schedules materials reminders and key information.
  • Anticipate scheduling and administrative needs and proactively resolve issues before they become problems.
  • Support recruiting administrative projects internal processes and coordination with vendors and team members.
  • Partner with marketing colleagues on speaking engagements networking opportunities and business development initiatives.
  • Draft and prepare professional correspondence reports emails presentations and other documents.
  • Coordinate firm meetings networking events dinners receptions team activities and other internal and external events.
  • Maintain organized administrative files calendars mailings and business records.
  • Communicate professionally with clients prospective clients attorneys vendors and other stakeholders.
  • Assist with prospective client inquiries and appropriately route matters to attorneys.
  • Provide responsive day-to-day administrative and executive support as firm priorities evolve.

Qualifications

  • 3 years of Executive Assistant legal assistant or comparable high-level legal support experience within a law firm required.
  • Strong experience managing complex executive calendars and competing priorities.
  • Exceptional organization attention to detail time management and follow-through.
  • Excellent written verbal and interpersonal communication skills.
  • High level of discretion and ability to handle confidential information.
  • Advanced proficiency with Google Workspace Microsoft Office Outlook Word Excel PowerPoint and Adobe.
  • Ability to work independently anticipate needs solve problems and adapt quickly.
  • Professional dependable resourceful and comfortable working in a fast-paced environment.
  • Bachelors degree preferred.
  • Spanish fluency preferred.
  • Prior legal assistant experience strongly preferred.
