A high-performing boutique professional services firm supporting high-net-worth clientele seeks an experienced Executive Assistant/to provide seamless support to two busy executives - one leading a fast-paced legal practice and the other overseeing a growing real estate company.
This is a newly created position offering the chance to establish structure and systems take ownership of the administrative foundation and work side by side with two thoughtful intelligent and down-to-earth principals. The ideal candidate thrives in a dynamic fast-moving environment exercises sound judgment and maintains grace under pressure.
Key Responsibilities
Executive Support
- Provide proactive executive-level administrative support to two principals (approx. 70% legal and 30% real estate).
- Manage busy calendars coordinate internal and external meetings and anticipate scheduling needs.
- Serve as the professional gatekeeper- balancing accessibility with organization and focus.
- Handle confidential communication correspondence and document management.
- Coordinate travel accommodations and detailed itineraries.
- Oversee expense reporting reimbursements and light bookkeeping functions.
- Support project management and trial or client preparation logistics as needed.
- Liaise with attorneys paralegals clients and external partners to ensure smooth communication flow.
Personal & Household Assistance
- Manage personal scheduling errands and appointments.
- Handle personal banking and account reconciliations.
- Coordinate with vendors and service providers for home and investment property needs.
- Assist with occasional personal travel gifts and special projects.
Operational & Relationship Management
- Build strong internal relationships to foster a collaborative positive work environment.
- Maintain an approachable service-oriented presence while managing competing priorities.
- Help develop new administrative systems and processes as the business grows.
- Support company events team communications and occasional HR or training logistics.
Qualifications
- Minimum 5 years of experience as an Executive Assistant or Personal Assistant ideally within legal financial or real estate industries.
- Bachelors degree preferred; equivalent professional experience considered.
- Exceptional organization time management and multitasking abilities.
- Excellent communication and interpersonal skills; poised professional and kind.
- Highly discreet and trustworthy with strong attention to detail and follow-through.
- Advanced proficiency in Microsoft Office (Outlook Word Excel PowerPoint).
- Valid drivers license and reliable transportation for local errands and appointments.
