Event Data and Software Assistant

Venue Services strives to Exceed the Expectation Anticipate the Need Be the Solution for Utah State Universitys on-campus event operations. This is a unique opportunity to be involved in the behind-the-scenes action for large events on campus from football games to the USU Howl to fine art performances.

This position serves as the primary event database specialist for Venue Services and supports the continued implementation and development of the software called SwitchBase across campus. This position will be part of the Venue Services Office Assistants team. Responsibilities include maintaining and updating the software assisting with implementation efforts within the Office of Events venues providing user training and support and serving as a resource for campus partners and stakeholders. The specialist will also be responsible for providing on-site event support a responsibility that can be shared among the assistant team. This position will report to the Assistant Director of Venues.

The successful candidate should be adaptable organized and comfortable learning new systems in a fast-paced environment. Strong communication problem-solving and customer service skills are essential as this role will collaborate with university departments third-party contacts and event service partners to support effective software adoption and ongoing operations.

As a part-time student position this employee will be able to set their own in-office hours to accommodate their class schedule and event schedule. Generally 20-25 hours in the office is expected weekly during the school year. The office is open between 7:30 am and 5:00 pm Monday through Friday. Elevated hours per week are available during the summer months.

• Regularly work in and update the Venue Services event database software currently SwitchBase under established processes and procedures.
• Assist with the Phase II implementation of SwitchBase across Office of Events venues by supporting data entry system updates quality checks and other implementation tasks as directed.
• Provide onsite event support using SwitchBase including monitoring event activity documenting issues and assisting with the tracking of operational requests as needed.
• Assist with developing and providing training materials and training sessions for users across campus.
• Support communication and relationship-building with third-party contacts and USU service partners.
• Assist in managing lost & found inventory and maintaining accurate records.
• Follow up with work orders and communicate updates as needed.
• Assist other Office Assistants with estimate and billing responsibilities as needed.
• Work evening weekend and holiday hours as needed

Minimum Qualifications

• Current USU student or eligible campus employee
• Experience working with digital tools databases or online platforms
• Demonstrated ability to quickly learn and adapt to new software systems and processes.
• Proficiency with Microsoft Office Suite especially Microsoft Excel and Microsoft Outlook

Preferred Qualifications

• Comfortable working in evolving environments and helping improve developing processes.
• Experience creating training materials or documentation
• Experience in administrative operations or event support environments
• Experience providing technical support or peer training
• SwitchBase Certification
• Experience working with CourseDog an event scheduling software.
