Position Summary

Under the supervision of the Senior Event Manager theEvent Coordinator will support the planning and execution of assigned events at Addition Financial Arena and the venue. This position serves an integral role in the day-to-day operation of the events conjunction with the Events team the Event Coordinator will work to collect and distribute event information to internal and external entities helping with developing the staffing plans and event-related documents and providing support to the guest services staff.

This role will pay an hourly rate of $18.00 - $21.00.

About the Venue

Addition Financial Arena is a multi-purpose entertainment arena located on the University of Central Florida campus. The arena features up to 10000 seats and hosts a wide variety of events ranging from nationally renowned artists family shows college and professional sporting events trade shows and conventions. The Arena is home to the University of Central Florida Knights Mens and Womens Basketball Womens Volleyball and Major League Volleyballs Orlando Valkyries.

Responsibilities
  • Participate and perform duties towards planning and execution of events in support of the Event Management Team
  • Assistance with day-of event operations: setup of staff check-in areas distribution of paperwork building walk-throughs and event-day problem-solving
  • Coordinate and complete all pre-planning steps and day-of responsibilities for assigned events including communication with internal staff and external vendors and creation/editing of event-related paperwork such as info sheets staff posting sheets and data sheets
  • Build and maintain positive working relationships with clients promoters tenants and event partners by providing responsive professional and solution-oriented customer service
  • Communicate in a timely manner with each department regarding specific needs and information for each event
  • Assist with the scheduling of part-time employees utilizing our staffing software to create shifts and confirm working staff
  • Support continuous improvement initiatives by identifying opportunities to improve event planning processes client services and guest experience initiatives.
  • Collaborate in the development and implementation of department-wide training programs
  • Prepare and assist with the completion of pre-show event financial estimates and post-event settlements.
  • Participate in weekly scheduled meetings with the events department as well as interdepartmental and external stakeholder meetings
  • Assist the Event Managers with the processing of the biweekly Events Department payroll to HR
  • Conducts monthly evaluations of all incident reports to be presented for operational evaluation
  • Perform other operational duties as assigned
Qualifications

Required Qualifications:

  • High school diploma or GED required
  • 1-2 years of experience in a hospitality sports or entertainment-related field
  • Must be able to work a flexible work schedule including nights weekends and holidays
  • Strong customer service orientation with the ability to build positive relationships with clients and internal stakeholders
  • Demonstrated experience coordinating multiple projects and managing competing priorities in a fast-paced environment
  • Excellent collaboration communication interpersonal organizational and problem-solving skills required
  • Proficiency in Microsoft Office Suite including Outlook Word Excel and other business software
  • Strong attention to detail

Preferred Qualifications:

  • Bachelors degree from an accredited college/university with major coursework in facility management hospitality management business or a related field is preferred
  • Basic knowledge of event-related software including AutoCAD and VenuePro
  • Strong organizational planning and time management skills with exceptional attention to detail
