Job Summary
Responsible for coordinating and managing medical education programs by fostering relationships with healthcare providers such as physicians nurses and other clinical professionals to facilitate their professional development and ensure the organization offers high-quality educational opportunities.Essential Functions
-Collaborate with internal stakeholders such as medical staff department heads and education committees to identify educational needs and develop comprehensive medical education programs.
-Establish and maintain relationships with healthcare providers to understand their educational needs and promote participation in the organizations programs.
-Organize and manage educational events including scheduling venue selection logistics coordination and securing necessary resources (e.g. speakers audiovisual equipment materials).
-Ensure that the organizations educational programs meet the requirements of accrediting bodies and regulatory agencies responsible for CME.
-Develop marketing strategies and materials to promote medical education programs to healthcare providers.
-Collect feedback from participants instructors and stakeholders to assess the effectiveness and impact of educational programs.

Under the direction of the MGB Pathology Director of Education and the Senior Manager theEducationProgram Coordinatoris responsible fortheday-to-dayoperations onboarding and management of visitors (observers and non-employee researchers) in the Department of Pathology. Theeducationprogram coordinatorisalsoresponsible forthe operational management of thevarious CME programsand trainee lecture seriesin the Department of Pathology.
Principal Duties and Responsibilities:
In collaboration with thedirector and MGB Pathology Education team members theProgramCoordinatoris responsible for
- Oversee observerprocessbyscheduling all observers and non-employee researchers and monitoringandfairly adjudicatingrequests from faculty and visitors following MGB Pathology Education Office Visitor guidelines.
- Serves asprimarypoint of contact for all visitors to the department.
- Onboardsall visitorsby collecting required documentsfacilitatingvisasand paymentfrom the visitor(when applicable).
- Ensuresvisitors areclearedand approvedby Occupational Health andSponsored Staff Office.
- Monitors visitor compliance with all institutional requirements such as HealthStream trainings andcompliance with MGB vaccination requirements.
- Serve as administrator for Pathology Grand Roundsand otherresidency and fellowship lecture seriesworking with the MGB CPD office tosubmitrequired documents toachieve ACCMECME credit for each conference.
- Provideoverall direct support to theCourseDirectors as needed
- Assistswith special projects as directed.
- Performs duties with minimal supervision.
QUALIFICATIONS:
- Associates degree is;Bachelorspreferred
- Work experience2-3years in the following areas: Graduate Medical Education Hospital or Healthcarestronglypreferred.
- Excellent interpersonaloraland written communication skills.
- Excellent critical thinking and time management skills.
- Astute attention to details commitment to accuracy and integrity of all data reports and communications.
- Ability to work independently take initiative and work in fast pace team environment as well ashave the ability toexercise decision-making skills to prioritize workload and to manage multiple complex and concurrent projects and tasks assigned to the Senior Program Coordinator.
Requirements:
With the increasing scope and complexity of program requirements and documentation theEducationProgramCoordinatormust have excellent organizational skills effective analytical skills and have an ability to exercise independent and sound judgment. Must be able to triage multiple priorities and meet deadlines in a complex environment with multiple interruptions. Excellentcommunicationsskills are essential including verbal written and computer communication abilities. Strong critical thinking problem-solvingand attentiveness to detail. This individual will be interacting with a variety of staff at many levels often dealing with confidential information and strong interpersonal skills are critical. Mustpossessexcellent computer skills including MS Word Excel and Outlook. Experience with web authoring would be helpful. Knowledge of or ability to learn other software programs especially GME New Innovations hospital specific software (i.e.WorkDayand Beeline) and other database management programs as necessary (i.e.ERAS ADS).Knowledge of basic financial analysis and budget processeshelpful.
